Description

Summary: Greets and assists visitors and probationers to the Community Supervision and Corrections office; answers and forwards, incoming telephone calls; provides clerical and cashier support.

Duties & Responsibilities

Essential Job Functions: Answers incoming telephone calls; screens and directs calls to appropriate person; provides assistance and information within scope of responsibility and knowledge; greets and logs in offenders and other visitors to the office; directs them to proper destination or appropriate person for assistance; monitor for proper operation and maintain fire, panic, security and surveillance video tapes and equipment; receives and signs for parcels and other deliveries; creates and compiles reports, data bases, and other documents as needed; makes mail delivery to the courthouse; picks up and distributes mail from the courthouse; opens, date stamps, and distributes all incoming postal mail; enters data in computer; receives probation payments from offenders and enters payment data into the computer; balances cash drawer, and prepares bank deposit.

Other Job Functions: Performs other job related/clerical duties as directed.

Education & Experience

Education & Experience: High school diploma or GED; 2 to 3 years of related job experience and/or on-the-job training in general clerical functions.

Other Qualifications: Bilingual skills (English/Spanish) preferred but not required. Applicants may be subject to a complete background investigation including but not limited to Driving Record and Criminal History checks.

Knowledge, Skills, & Abilities

Knowledge, Skills, & Abilities: Knowledge of accepted office practices and procedures; excellent verbal communication skills, including knowledge of telephone etiquette and a pleasant speaking voice; written communication skills; accurate typing skills and should be able to type 35 wpm; data entry and basic computer skills; math calculation skills; good interpersonal skills to answer telephone, greet probationers and other visitors, interact and cooperate with co-workers and deal effectively with the general public.


Work Situations/Demands/Efforts:
Work requires regular and predictable attendance; availability for work from 8:00 A.M. to 5:00 P.M., Monday through Friday and for extra hours or late night (5:00 P.M. – 7:00 P.M.) as needed; organizing; prioritizing; accuracy and attention to detail; working alone and as part of a group; flexibility in order to perform and coordinate a variety of duties; performing routine, repetitive duties; working in high volume environment and dealing with frequent deadlines; dealing with criminal offenders; occasional out-of-town travel to attend educational seminars, workshops, training sessions. Work is primarily sedentary. Job duties require prolonged sitting to do desk work; walking within office to deliver/retrieve files and paperwork, make copies, etc.

Working Conditions: Work is performed primarily in a climate controlled office environment; heavy office traffic and/or high noise level may cause distractions and interrupt duties; record related work may be performed in a limited climate controlled office or warehouse environment, which is subject to dust and other airborne and surface pollutants, and moderate temperature extremes.

Physical Requirements: Work is primarily sedentary; duties require reaching, lifting and carrying objects weighing up to 10 lbs.; prolonged sitting to work at computer, walking; duties may require occasional to frequent loading, lifting, and carrying of file boxes weighing over 10 lbs.
