The Accounting and Payroll Administrator is a versatile and detail-oriented professional responsible for managing payroll processes, financial tasks, and administrative services to ensure smooth business operations. This role requires expertise in accounting and payroll systems, attention to detail, and the ability to manage multiple responsibilities effectively.
Qualifications:
- Experience: At least 2-4 years of experience in payroll processing, project and general accounting.
- Strong knowledge of accounting software, payroll systems, and tax regulations.
- Experience with construction management services and job costing.
- Technical Skills: Proficiency in Microsoft Office Suite, especially Excel (Word, Excel, Outlook, and PowerPoint) is essential.
- Organizational Skills: Excellent organizational and ability to manage multiple tasks efficiently.
- Interpersonal Skills: Strong communication skills and attention to detail.
- Education: Associate degree in accounting, business administration, or a related field (preferred).
Essential Functions:
Payroll Processing and Tax Compliance
- Administer payroll for all employees, ensuring accuracy and timeliness.
- Prepare and file required payroll tax returns, including federal, state, and local obligations.
- Maintain compliance with all payroll regulations and reporting requirements.
- Update fringes and rates periodically.
Job Costing and Owner Invoicing
- Set up and maintain accurate project cost accounts in the accounting system for each project, including initial budgets, cost codes, and tracking for all relevant categories (labor, materials, subcontractor expenses).
- Review cost reports to ensure they are accurate and complete.
- Track and analyze job costs for ongoing projects, monitoring actual expenditures against project budgets and identifying cost variances.
- Collaborate with project managers to monitor and analyze job cost data.
- Conduct monthly project cost reviews with Project Managers and senior management, discussing cost performance, variances, and financial health.
- Prepare and process customer invoices.
- Prepare and submit monthly project billings, including Applications for Payment, progress billings, and supporting documentation for client review.
- Track accounts receivable for projects, following up on outstanding invoices and coordinating collections efforts with clients as needed.
Cash Posting
- Daily/weekly cash receipts and disbursement postings, reconciled to the general ledger.
Accounts Payable
- Process weekly check runs, ensuring all vendor payments are accurate and timely.
- Manage and post credit card invoices, ensuring proper allocation to projects and accounts.
