Our Function
As an Office Services Meeting Coordinator, you are an integral part of the Office Services team. You must possess exceptional interpersonal skills. In this client facing role, you should be able to engage, multitask and provide a high level of service to our clients. You must maintain a high level of professionalism and be able to seamlessly interact with employees at all levels of the firm. Attention to detail, with a calm and empathic demeanor are required skills in this role. You must have the ability to work well both independently and with others. You should always maintain a high level of customer service.
Your Impact
Your responsibilities will include, but are not limited to the following:
- Interface with clients, staff & lead receptionist to coordinate meeting times, deliveries, and ensure all morning breakfast and lunch meetings have a timely set-up
- Provide primary pantry setup and refreshment
- Act as a secondary or floating reception coverage to the front desk reception, provide break relief and primary reception coverage when lead receptionist is out of the office
- Provide general administrative support
Your Required Skills
Your required skills must include:
- Minimum 5-10 years of relevant experience
- Must be able to lift heavy items up to 50 pounds
- Must be able to be on your feet for the day
- Must be able to operate and navigate office equipment (ex. beverage carts for meeting setups)
- Ability to proactively monitor conference rooms, meetings and solve scheduling conflicts
- Strong attention to detail, highly organized and efficient
- Must possess strong communication skills and be flexible to change when necessary
- Ability to operate in both transactional and strategic ways
- Basic Microsoft Office skills: Outlook, Word and Excel (must be able to input data and format)

The base salary range for this role is $70,000 to $80,000 and *overtime eligible. Individual salaries for this role may vary based on various factors including but not limited to, years of experience, range in corporate level, candidate skills, and geographic location. Eligibility to participate in a discretionary annual incentive program is subject to rules governing the program, whereby an award, if any, depends on various factors including but not limited to, individual and organizational performance.
