Essential Duties
WORK SCHEDULE: Per contracted days
POSITION SUMMARY
The receptionist is responsible for greeting and directing visitors, responding to inquiries from staff, the public, parents, students, etc. by providing requested information and/or referral to other parties; and, when time permits, providing general clerical support. This position reports to the Building Principal.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- To be responsible for managing office by greeting and assisting visitors, students, parents, and staff
- To be responsible for maintaining use of telephone and intercom system
- To be responsible for admitting and dismissing students from school during day
- To be responsible for maintaining list of students who notified school of absence
- To assist substitute teachers at check-in
- To be responsible to assist with “emergency” intercom calls from classrooms and locate and dispatch appropriate administrator to resolve the situation
- To be responsible for daily school announcements
- To receive daily mail and distribute to applicable teacher/staff member
- To receive daily shipments from UPS, Fed Ex, Airborne, etc. and distribute to applicable teacher/staff member
- To assist with enrollment process for new incoming students by providing enrollment packet
- To maintain items for lost and found
- To be responsible to assist with Open House for registering new students
- To assist with parent/teacher conferences
- To assist with transferring students’ records requests
- To be responsible for Senior Obligation list (High School Office)
- To assist teachers with additional needs
- To manage school financial transactions through eFinance including bank deposits and petty cash
- To be responsible for eFinance data entry and report generation
- To maintain building records and files
- To be responsible for generating and maintaining district forms necessary for building and district functions and requests
- To assist building administrators with secretarial duties
- To organize and create the school calendar of events for the year
- To collect monthly payroll forms from building staff
- To contact Kelly Services when notified of teacher absence
- To order honor medals and stoles, prepare list of seniors for graduation, prepare legal names for seniors for diploma list, order diplomas, obtain list of National Honor Society, Beta, and College Prep students for diploma seals, check in senior caps and gowns, finalize graduation list with counselors and prepare for graduation night; prepare diplomas to hand out at graduation (High School office)
- To order building supplies according to the Business Procedure Manual including Amazon orders
- To be responsible for Requisition and Purchase Orders for all expenditures
- To be responsible for Instructional and Principal’s funds
- To be responsible for entering discipline code in eFinance
- To perform additional duties and responsibilities as assigned by employee’s supervisor, the principal, or the superintendent
POSITION QUALIFICATIONS
Competency Statements

Evidence of strong oral and written communication skills
Education
Minimum of high school diploma with an accredited educational institution. Some college preferred. Other requirements per job description.
Experience
One year of successful experience working with children and adolescents with proven interpersonal and multi-tasking abilities in a job related field. Other requirements per job description.
Certificates & Licenses
Any valid certificate or license in a job related field to comply with the necessary requirements to meet the position’s essential duties and responsibilities.
Computer Skills
Ability to apply basic computer programs (spreadsheet, Microsoft word, Excel, PowerPoint, others) to enhance job performance. (Others could include APSCN, HAC/TAC, NWEA, , TRIAND, eSchool)
Other Requirements
Ability to establish and maintain effective working relationships with staff and the school community.
Ability to speak clearly and concisely both in oral and written communication.
Ability to perform duties with awareness of all federal, state, and district requirements.
LANGUAGE SKILLS: Ability to read, analyze and interpret professional documents. Ability to effectively present information and respond to questions from groups and the general public.
