The Kind of Work You’ll be Doing:
- Serve DS Team Leaders and JFP Associate Director in a variety of administrative duties as requested such as: calendar management, scheduling both internal and external appointments, monitoring and responding to emails as appropriate, scheduling meetings/rooms, conferences, events, creating slideshows, and arranging catering.
- Assist with set up and tear down for hybrid meetings including setting up virtual meeting technology. Take notes for essential meetings as requested by leadership.
- Work closely with the DS Administration Manager to gather and document department information; update the department organizational chart as needed.
- Assist leaders in financial duties such as clearing team leaders' ministry card expenses monthly.
- Audit department budget requests including Strategic Planning Questionnaires (SPQs) for each allocation cycle, establish deadlines in collaboration with the Operations Team Leader, provide training on SPQ completion, and maintain up-to-date process documentation.
- Oversee department crisis management documents and assist team leaders in filling out travel sheets. Make travel arrangements for department leaders including lodging, meals, and outings as requested.
- Process invoice payments for contractors, ensure accurate filing and budget tracking, and assist Team Leaders with contract requests and renewals as needed.
- Process check requests and acquire W9 forms from vendors as needed. Submit contract/vendor requests to the General Counsel's Office (GCO) via Asana. Track requests during DS projects.
- Review, respond to, and delegate requests from users through HelpScout to the appropriate teams.
- Manage DS Slack account and assist teams with online accounts as needed.
- Prepare, type, and file a variety of digital correspondence such as internal department communications, etc., including material of a confidential nature.
- Assist in the onboarding of new staff including orientation to team norms, policies, culture, and office space, ensuring the staff member is added to all the appropriate online platforms. Assist with offboarding of departing staff, including closing accounts.
- Submit work order requests for any maintenance or information technology issues.
Experience and Skills:
Minimum 2 Year / Associate Degree
2 years of experience in Office Management positions or Administrative positions of increasing responsibilities. Or an equivalent combination of both.
