Summary
Administrative Support Coordinator is responsible for providing administrative and clerical services to both internal staff and external individuals and / or entities. Administrative Support Coordinator reports directly to Senior VP of Home Care Services.
Responsibilities
- Provide exceptional internal and external customer service which supports our values of providing high quality home care while meeting the needs of clients and employees.
- Answer telephone calls and greet customers in a pleasant manner.
- Manage telephone greeting messages for holidays, unscheduled closings, and weekends.
- Act as primary administrator of the telephone system, RingCentral.
- Monitor, receive, sort, and distribute internal and external mail, faxes, voicemails, and emails to appropriate personnel.
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
- Operate and maintain necessary equipment including copiers, printers, and fax machines, alerting appropriate personnel when any issues arise and / or repairs are needed.
- General data entry, filing, scanning, and faxing as necessary.
- Prepare and postmark outgoing mail using the postage machine and manage outgoing shipments for FedEx and / or UPS.
- Maintain adequate inventory of supplies by monitoring stock, placing orders, and working with vendors when necessary.
- Oversee the distribution and ordering of PPE.
- Assist in the planning and organization of events and functions, including placing food orders for meetings as necessary.
- Assist the agency with file retention by scanning and filing employee and client documents as needed.
- Issue caregiver and administrative employee ID badges.
- Assist caregivers with the UKG mobile app.
- Communicate building facilities needs through the JEVS Facilities department ticketing system.
- Adhere to JCAH policies and procedures, all applicable care standards and governmental laws and regulations.
- Adhere to all compliance practices and standards.
- Perform additional duties / special projects and reports, as assigned.
Required Education and Experience
Physical Requirements
May require sitting, standing, or walking on a level surface for periods throughout the day. May require lifting up to 20 pounds. Regional travel up to 10% required to other JEVS locations.
