Sales Administrative Assistant
We are seeking a detail-oriented and organized Sales Administrative Assistant to join our team.
The ideal candidate will provide administrative support to our sales team, assist in the
management of sales activities, and ensure efficient communication between internal
departments and external clients. The Sales Administrative Assistant will be responsible for
maintaining sales records, preparing reports, scheduling appointments, and handling customer
inquiries through HubSpot.
1. Provide administrative support to the sales team. Including processing online, email and
phone sales.
2. Ensure order and invoice accuracy.
3. Maintain accurate records of sales data, including customer information, sales figures,
and inventory levels.
4. Handle basic customer service functions, such as answering questions or responding to
inquiries.
5. Coordinate with other departments, such as marketing and finance, to ensure seamless
communication and collaboration.
6. Manage order delivery timeliness.
7. Compile sales reports.
8. Become experts on company product.
9. Update HubSpot with complete customer records and sales activity.
10. Communicate customer feedback.
Requirements:
1. Proven experience as a Sales Administrative Assistant or similar role.
2. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Asana, Slack
and particularly with CRM software (HubSpot).
3. Strong organizational and time-management skills, with the ability to prioritize tasks and
meet deadlines.
4. Excellent communication and interpersonal skills, with a customer-oriented approach.
5. Attention to detail and accuracy in data entry and record-keeping.
6. Ability to work independently as well as part of a team in a fast-paced environment.
7. Bachelor’s degree in business administration, marketing, or related field is preferred.
8. Previous experience in consumer products, retail, vape sales or customer service is a
plus.
