The Program Supervisor, Access, Information and Referral Services, coordinates and monitors daily operations of Access, Information, and Referral Services and provides administrative support. This position is also responsible for administering the Jewish Educational Loan Fund (JELF). The Program Supervisor supervises the support staff and I&R Specialist positions. This position will assist with managing workflows, recruit and train new hires, assist with fiscal and HR responsibilities, answer/respond to calls for information and referral services, conduct client assessments/evaluations, and complete intakes for JCS services. The Program Supervisor must be familiar with a wide range of community resources, with a strong knowledge of culturally specific resources for the Jewish Community, and be able to utilize a wide data base of resources.
ESSENTIAL DUTIES AND RESPONSIBILITIES, and other duties may be assigned:
- Assists callers with Information and Referral resources, and for the Access direct line
- Assists with HR responsibilities (i.e. interviewing, screening, hiring, interviewing, etc.)
- Trains all new hires within scope of work
- Assists with promoting JCS Access, Information, and Referral Services through community education and awareness
- Participates in monthly fiscal meetings, as needed
- Attends agency meetings, trainings, and other related activities
- Coordinates and monitors daily operations and manages workflows to ensure Access, Information, and Referral services are provided with fidelity and integrity
- Assists callers with Intakes for JCS services, such as Case Management
- Answers and responds to JCS website and Greater Miami Jewish Federation requests
- Interviews potential JELF loan applicants and assists applicants in all tasks related to the loan application process, i.e. submitting required documentation accurately and by deadlines
- Supports JELF’s marketing efforts within the community
- Assists with mobilizing services during crises/emergency situations
- Responsible for processing emergency financial assistance for clients in crises
- Monitors the assessment and disbursement of special funds designated for clients in need
- Responsible for purchasing and tracking of monthly gift cards
- Purchases and distributes Greater Miami Jewish Federation funded gift cards
- Completes Performance Evaluations annually and mid-year for all direct reports
- Assists in the coordination and scheduling of the South Dade Food Bank and maintaining monthly statistics
- Maintains daily/monthly statistics of all forms of client contact, including the responsibility of entering data dashboard metrics
- Assists with fiscal tasks, including budgeting, P & L reviews, gift cards, expense reports and monthly funder reports
- Inputs, updates, and maintains records for billing/invoicing on a weekly basis
- Participate in provider meetings, as needed, to acquire new information and updates for the department
- Compiles and analyzes data for reports and submits, as required
- Process invoices, reimbursements, and other financial transactions
- Collaborate with HR and Fiscal to ensure that payroll data and fiscal invoices are submitted on a timely basis
SUPERVISION:
The Information and Referral Services Program Supervisor is responsible to supervise the Access Administrative Support Staff and Information and Referral Specialists.
MINIMUM QUALIFICATIONS:

- Bachelor’s degree or equivalent from four-years of college, or a combination of related experience and/or training, required
- Must possess good computer skills and ability to use Microsoft Office (Excel; Word; Outlook; Power Point; etc.)
- Must be familiar with a wide range of community resources, with a strong knowledge of culturally specific resources for the Jewish Community, and be able to utilize a wide data base of resources
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
- Ability to write routine reports and correspondence
- Possess excellent organizational skills
- Possess excellent verbal and written communication skills
- Possess excellent interpersonal skills and be able to speak effectively before groups of customers and employees of organization
- Must be a Notary Public
- Must be a CIRS (Certified Information & Referral Specialist)
