Development Coordinator
Job Summary
The Development Coordinator is responsible for creating and managing an effective database infrastructure to support prospect management and gift processing. Database management includes providing information and analytics for annual operations, board reports, special gifts, annual campaigns and special events. The Development Coordinator takes the lead in managing the database processes to ensure data integrity and participates in developing strategies to provide enhanced, accurate and up to date reports to support the agency’s goals. The Development Coordinator is analytical and highly organized, demonstrating experience with collaboratively partnering with others to meet objectives. The Development Coordinator trains, supervises and works closely with the Development Associate to fully integrate the work of the department regarding database management.
Principal Accountabilities
- Serves as lead point of contact on constituent database
- Manages and executes functions associated with database operations,
advancement services, prospect research, gifts, and records
- Design architecture of donation entering in donor database to produce meaningful
metrics (i.e. campaign coding, approach coding, other).
- Manages and maintains biographical data in donor database
- Manages recording and reporting of charitable gifts and deposits
- Assists Accounting Office with recording and reconciling transactions
- Manages pledge activity, including acknowledgements, receipts, pledge reminders and other correspondence
- Monitors records for completeness and accuracy
- Designs architecture of reports from database for Development Team to create strategies for prospecting, marketing, mailing lists, e-blasts, etc.
- Produce queries, reports, mailing lists as needed for various campaigns and funds including Friends Campaign, Goldberg Thanksgiving Distribution, Adopt A Family, Spotlight (Host Committee, Sponsors, General), Newsletters
- Produce Board and Executive Committee reporting
- Design and produce meaningful Board Campaign Giving Materials
- Design Thank You letter variations for specific campaigns and programs (i.e. Spotlight pledges v. gifts v. timing)
- Work with Board Members on “special” projects – i.e. Kaufman Thanksgiving
- Manage and maintain accurate and up to date data, identify and analyze macro data cuts and determine best approach for cleanup (i.e. deceased constituents, Do Not Mail status cleanup, etc.).
- Explore further maximization of all feature of database systems.
- Attend Departmental and Committee meetings as it relates to development activity.
- Establishes and documents departmental policies and procedures including donations processing policies, procedures, systems and compliance with IRS rules and regulations
- Develop and implement research strategies utilizing ethical intelligence-gathering techniques of the information profession
- Collaborate with members of various departments including Development, Accounting Office and the Administrative Team
Education and Experience:
A Bachelor’s degree with major course work in Information Systems, Business Administration or other relevant field is required along with a minimum of three to five years of related experience. Preference for candidates with related professional experience in a school or non-profit workplace.
Knowledge & Skills
- Strong technical skills, including proficiency in database management e.g. E-
Tapestry, Raisers Edge or other fundraising/relationship management software
- Microsoft Office with advanced skills in Microsoft Excel
- Knowledge of fundraising and advancement systems and advancement
management procedures
- Demonstrated competence in records and information management including
techniques and principles supporting critical records systems
- Maintains high level of discretion and confidentiality
- Strong interpersonal skills with ability to work effectively with diverse constituents
- Excellent written and verbal communication skills including report writing,
composing and proofing materials
- Strong attention to detail in establishing priorities, meeting timelines and efficiently
accomplishing duties
- Ability to work collaboratively or independently as needed
