Job Summary:
The Office Manager is responsible for managing the daily operations related to the agency’s physical facilities and procurement processes. This role also provides supervision and guidance to administrative personnel. While the Office Manager primarily reports to the Chief Executive Officer, the position maintains task-based reporting relationships with the Director of Development, Chief Financial Officer, and Chief Operating Officer as needed.
Duties and Responsibilities:
- Oversee the day-to-day operations of the office, ensuring a productive and organized work environment.
- Supervise and provide support to administrative personnel to ensure efficient workflow.
- Manage office purchasing, including stocking, and budget tracking of all necessary supplies.
- Coordinate office maintenance and facility management, including vendor relationships and service contracts.
- Ensure physical plant compliance with state regulations within the office environment.
- Ensures all work environments are adequate and safe for staff and clients.
- Assist in the preparation for and participation in all state licensure physical plant audits.
- Facilitate other tasks as needed, to ensure professional, and efficient functioning of all agency facilities.
- Perform other related duties as assigned.
Qualifications:
- Experience in administrative supervision.
- Thorough understanding of practices and policies involved in business operations.
- Superior verbal and written communication and interpersonal skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Excellent analytical, decision-making, and problem-solving skills.
