Job Title: Office Administrative Coordinator
Classification: Non-Exempt/Full-time/Salaried
Reports to: Chief Development Officer & Chief Operating Officer
Summary/objective
The Office Administrative Coordinator ensures that key administrative functions of the Jewish Federation of Greater New Orleans run smoothly, consistently, and efficiently. The role is critical to the successful performance of the communication-intensive operations of Federation’s year round fundraising practices. The Office Administrative Coordinator will consistently display professionalism, have the ability to use sound judgment, anticipate needs of volunteer leadership, and require minimal supervision.
Essential functions include the following. Other duties as assigned.
Database Entry
Enter and update data into CRM, run CRM reports, and use the database to prepare communications with stakeholders. Train staff on database usage and best practices.
Office Tasks
Answer and forward calls as necessary, pick up mail from reception and distribute, make copies, scan and email documents. Oversee employee onboarding and departing procedures. Coordinate with the 3rd party IT company and phone company for all office employees to assist with any issues. Manage general office supply ordering and inventorying.
Financial
Enter donor contributions of various types into CRM and create deposits for accounting. Assist with billing, collect payments for events, process stock transfers and run credit card payments monthly for donors.
CDO & COO Support
Support Chief Development Officer in daily activities related to multi-million dollar Annual Campaign. Track progress of multiple fundraising projects and prepare regular campaign reports for presentation to Board Members and CEO. Support the Chief Operating Officer with administrative tasks, oversight of the Goldring-Woldenberg Jewish Community Campus and coordination of committee actions. Assist with daily administrative activities.

Non-exempt, full time, 34 hours/week (Mon-Thurs 9am-5pm; Fri 9am-4pm); additional hours as needed for special events and meetings

Required education and experience
High School Diploma or equivalent
Preferred education and experience
Microsoft Office: Expert
Administrative Experience: 3 years
