The Clinic Services Receptionist II is responsible for front desk reception support for the organization and administrative support services to the Clinical Services Department, as well as supporting on-site activities and appointments of the Social Services department. This position reports to the Director of Clinical Services.
Duties and Responsibilities :
- Maintain client confidentiality at all times.
- Front desk duties consist of :
Greeting individuals as they enter the lobby, answering and directing calls, checking voicemail and forwarding messages, and promptly informing staff of client appointment arrivals and issues.
General housekeeping as needed in the public reception area, including surface cleaning and general maintenance of waiting room.
Ensure that all non-treatment rooms, the conference room and the waiting room areas are clean.
Provide exceptional customer service to visitors, vendors and other community members by greeting and distributing visitor badges, ensuring visitor's car is logged, and informing staff of visitor arrival.
Checking in Clinical, CCS, Wraparound and SSRS clients for their appointments and notifying staff of client arrival.
Verify insurance and client information at check-in for new clinical clients.
Collect co-payments at check-in for clinical clients.
Assist in performing clerical duties related to the credentialing of licensed staff, such as completing enrollment applications, under supervision of the Clinical Services Coordinator, as needed.Maintain the necessary forms for the Clinical Services Department, including intake form revisions, scanning, photocopying and replenishing of supplies as necessary.Assist the Medical Billing Specialist with acquiring necessary client information, as needed.Provide assistance to Psychiatric APNP with client scheduling and prescription refill requests forwarding.Collaborate with Lead Clinical Receptionist on special projects, as needed.Assist in the distribution and collection of United Way surveys and appropriate outcome measures as directed.Afternoon / early evening hours required.General
Must have a valid driver's license, access to reliable vehicle, and automobile insurance coverage throughout employment.Knowledge, understanding, and / or willingness to learn Jewish culture and traditions and those of the Agency population as necessary.Accept other duties and responsibilities as assigned.Candidates must successfully pass a criminal background check with the Wisconsin Department of Justice and a caregiver background check with the Wisconsin Department of Health Services, the Department of Children and Families and the Department Safety and Professional Services.Candidates must pass a Dru Sjodin National Sex Offender and Wisconsin Sex Offender Registry screening.Documentation, or verified medical exemption, of immunizations and / or screening of : Tuberculosis, Flu, Measles, Mumps, Rubella, and Varicella (Chicken Pox)High school diploma or GED with a minimum of 2 years of related administrative and medical (or mental health) office work experience is required. Proficient in Microsoft Office application suite with demonstrated skill in Excel and Word, required.Medical Assistant degree strongly preferredPrevious experience with Electronic Health Records (EHR), preferred or a willingness to learn new EHR system (Procentive), required.Ability to maintain confidentiality with sensitive client / volunteer / employee information.Ability to be methodical and work to a structure, seeing problems through to their satisfactory conclusion.Other desired qualities include : highly organized, attention to detail, flexible, self-directed, ability to prioritize work, ability to support a large staff and excellent communication and interpersonal skills.Ability to work effectively with clients, consultants, department / agency staff and others within team concept necessary.PIbee8fe543369-26276-36614945
