The Counseling Office Assistant will work with the team on administrative functions in our Counseling/Memory Assessment department. In this position, you will be responsible for the entire client/patient experience from the initial intake to keeping an accurate record/database. You will serve as the primary liaison for the Memory Assessment Program. You will ensure a positive client/patient experience in a manner that is sensitive to JFS’ service population’s cultural and socioeconomic characteristics.
Responsibilities:
Administrative:
- ·Serve as the primary liaison for the Memory Assessment Program and its specialized tasks such as: verify need for pre-authorization, receive referral, schedule appointment, send admission forms, collect admission forms, e-mail/text/call reminders, send reports to referring doctor and patient, create a shared file of record.
- Maintain patient files/database: enter patient information into EMR, scan and upload patient files/documents.
- Serve as backup to Counseling Office Assistant position as needed: front desk coverage, greet clients/patients, answer phones, assist clients/patients, schedule and verify appointments, collect, and process co-pays as required by the insurance company, and monitor office supplies and overall office appearance as needed.
- Process, coordinate and schedule intakes.
- Maintain list of reduced fee/grant Neuro clients.
- Coordinate with Counseling Office staff regarding client billing, find gaps in processes and solutions to issues that arise.
- Assist with the monitoring of the automatic insurance verification process, run daily reports and follow up as needed.
- Assist with verifying and tracking Counseling Client insurance coverage, verify need for pre-authorization, and co-payment information for each client upon initial intake, quarterly, and as needed.
- Assist with applying payments to client’s accounts each day and maintain reports
- Assist with maintaining insurance records in accordance with agency requirements.
- Assist with collecting, tracking, and reporting demographic and insurance client populations information.
- Train volunteers and others to cover Counseling front desk as needed.
- Assist with coordinating with HC Admin staff for office PTO coverage and develop emergency plan for when there is no coverage.
Daily Record Management:
- Gather initial client/patient information, create electronic record, ensure clients/patients receive and complete paperwork.
- Accurately maintain client files and database with appropriate documentation.
- Enter and update client information and appointments in database.
- Submit reports via fax/scan daily.
Other
- Serve as backup for surveys and preparing counseling reports for quarterly PQI meetings and annual reports and conducting follow-up surveys, and outcome/satisfaction surveys, capture statistical data and prepare Counseling reports for quarterly PQI meetings and annual reports.
- Assist client and clinicians with telehealth technology set up and trouble shooting.
- Other duties as needed.
Qualifications:
- Minimum requirement Associate degree in Business Administration or Medical Administration.
- Must be proficient with Microsoft Office: Word/Excel/Outlook/Teams.
- Experience verifying insurance and working with an EHR required.
