JOB OVERVIEW 


We are seeking an organized and detail-oriented Project Administrator to support the daily administrative and operational functions of a construction site. The Project Admin will work closely with the Project Manager, Site Superintendent, foremen, and skilled trades teams (millwrights, ironworkers, welders, etc.) to ensure smooth execution of the project. This role requires a proactive individual who can handle various administrative tasks in a fast-paced, dynamic environment. 


RESPONSIBILITIES 

  • Administrative Support:
    • Maintain project documentation, including contracts, permits, and site records.
    • Assist in creating and managing daily, weekly, and monthly reports.
    • Organize and schedule project meetings, including preparing agendas and taking minutes.
    • Track project deliverables and timelines to ensure deadlines are met.
    • Maintain timekeeping records for site personnel and ensure accurate submission to payroll.
  • Project Coordination:
    • Support Project Manager and Site Superintendent with the coordination of site activities and resources.
    • Assist with procurement of materials and supplies by maintaining inventory and coordinating deliveries.
    • Monitor and track project budgets, invoices, and expenses, ensuring accurate records are kept.
    • Coordinate communication between foremen (millwrights, ironworkers, welders, etc.) and management.
    • Manage document control processes to ensure all site-related documents are up to date.
  • Compliance and Safety:
    • Maintain records of safety certifications, licenses, and required training for site personnel.
    • Assist in ensuring that safety protocols and compliance requirements are followed on-site.
    • Help manage safety meetings and ensure site inspection reports are completed and filed properly.
  • Communication and Liaison:
    • Serve as a point of contact between project management, on-site tradespeople, and external vendors.
    • Facilitate clear communication among the team, including superintendents, foremen, and project staff.
    • Ensure smooth coordination between onsite operations and head office/other departments.
  • Problem Solving and Issue Resolution:
    • Proactively identify potential administrative and operational issues and work with the team to resolve them.
    • Help troubleshoot and resolve project delays, document inconsistencies, or resource shortages. 


REQUIREMENTS 

  • Education: High school diploma or GED required; Associate’s or bachelor's degree in business administration, Construction Management, or a related field preferred.
  • Experience:
    • Minimum of 2 years’ experience in an administrative role, preferably in construction or industrial projects.
    • Familiarity with construction operations and project coordination.
    • Experience working on-site in a fast-paced, labor-intensive environment is a plus.
  • Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
    • Strong organizational and multitasking skills with attention to detail.
    • Ability to manage time efficiently and handle a large volume of work.
    • Excellent verbal and written communication skills.
    • Problem-solving ability and adaptability in a dynamic work environment.
    • Familiarity with construction management software (e.g., Procore) is a plus.
  • Other Requirements:
    • Ability to work onsite at a construction site.
    • Understanding of construction safety protocols.
    • A willingness to work outdoors and site conditions as needed. 


WORKING CONDITIONS 

  • The Project Administrator will primarily work on-site in a construction environment.
  • Must be comfortable working in a physically demanding setting that includes exposure to varying weather conditions.
  • Some tasks may require travel between job sites or offices.
