Position Overview
The Office Administrator plays a vital role in managing office operations, ensuring efficient communication, and supporting key administrative functions. This position requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities
Office Management & Administration:
- Maintain an organized and professional office environment.
- Oversee office supplies inventory and place orders as needed.
- Manage incoming and outgoing mail, packages, and correspondence.
Scheduling & Coordination:
- Coordinate meetings, appointments, and conference calls.
- Assist in scheduling projects, job site visits, and team meetings.
- Serve as the primary point of contact for office-related inquiries.
Administrative Support:
- Prepare and distribute reports, memos, and company documents.
- Maintain electronic and physical filing systems for records and documentation.
- Support HR functions such as onboarding new employees and maintaining personnel records.
Customer & Vendor Relations:
- Communicate professionally with clients, vendors, and subcontractors.
- Assist in processing invoices, purchase orders, and expense reports.
- Ensure timely follow-up on outstanding payments and project documentation.
Process Improvement & Compliance:
- Identify opportunities to improve office procedures and efficiency.
- Assist in ensuring company compliance with industry regulations and internal policies.
Qualifications & Skills
- Experience: 2 years in an office administration, executive assistant, or similar role.
- Education: Associate’s or Bachelor’s degree in Business Administration or related field preferred (or equivalent experience).
- Technology Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
- Communication: Excellent verbal and written communication skills.
- Organization: Strong ability to prioritize tasks, manage deadlines, and maintain attention to detail.
- Problem-Solving: Ability to anticipate office needs and resolve issues proactively.
