Purpose of the Role

The Order Management Process Manager is vital to supporting and enhancing Huber Engineered Materials’ (HEM) global Order Management processes , encompassing the entire lifecycle from order capture to order shipping and invoicing. This role is dedicated to transforming and refining these processes to meet global standards while addressing the specific needs of newly acquired companies.

The primary purpose of this role is to ensure that HEM’s order management operations are not only efficient and customer-centric but also aligned with the company’s global processes. This includes overseeing the integration of acquired businesses into HEM’s order management framework, ensuring that new processes align with global standards while accommodating the unique requirements of each acquired entity.

Dimensions of Job

Subject Matter Expert : Possess deep knowledge of the entire order management lifecycle and act as a superuser of relevant order management tools and systems.

Project Leadership : Lead and manage workstreams that focus on enhancing order management processes, including integration efforts for newly acquired companies.

Integration Facilitation : Oversee the integration of processes from acquired companies into HEM’s global order management system, ensuring alignment with both global standards and local needs.

Process Improvement : Drive continuous improvement initiatives, offering guidance on balancing best practices with practical application for HEM and its acquisitions.

Training and Development : Develop and deliver educational programs and training materials to support the understanding and execution of order management processes throughout the organization.

Principal Accountabilities

Documentation : Develop and manage detailed documentation of order management processes, including creating, updating, and aligning documents with process changes and system updates.

Project Leadership : Lead workstreams to enhance order management processes and integrate those of acquired companies.

Metrics and Procedures : Support the development, implementation, and monitoring of metrics, policies, and procedures for effective order management.

Training Programs : Create and coordinate educational programs to advance organizational knowledge and capabilities in Order Management.

Integration : Oversee the integration of order management processes from acquired companies, ensuring alignment with global HEM processes while addressing specific needs.

Standardization : Develop and enforce standardized processes, ensuring consistency and adherence across all order management functions.

Collaborative Solutions : Collaborate with cross-functional teams to design and implement solutions that enhance order management visibility and value.

Future Needs : Address emerging business needs and drive excellence in order management practices.

Major Challenges

Integration of Acquired Companies : Effectively integrate order management processes from newly acquired companies into HEM’s global framework while addressing specific needs and challenges.

Change Management : Influence and manage cross-functional goals while implementing new processes and tools, particularly during the integration of acquired businesses.

Influence Without Direct Authority : Successfully influence and guide team members and stakeholders who do not report directly to you, fostering collaboration and alignment with order management goals.

Priority Management : Effectively manage and prioritize multiple projects and responsibilities, balancing immediate needs with long-term strategic objectives to ensure timely and successful outcomes.

Process Compliance : Ensure that all order management processes comply with HEM's designed global standards and procedures, integrating new processes from acquired companies while maintaining alignment with established guidelines.

Decision Making Authority

Process and Procedure Development : Authority to develop, implement, and refine order management processes and procedures within the scope of HEM’s global standards. Decisions should align with established policies and frameworks, with changes requiring approval from senior management when they impact global operations.

Integration of Acquired Companies : Authority to make decisions related to the integration of order management processes from acquired companies, ensuring alignment with HEM’s global standards. Significant changes or deviations from the global process require approval from executive leadership.

Project Prioritization : Authority to prioritize and allocate resources for order management improvement initiatives and integration projects. Major resource allocations or changes in project scope should be discussed with and approved by senior management.

Compliance Monitoring : Authority to enforce compliance with HEM’s global process standards and ensure adherence to process guidelines. Any significant compliance issues or deviations should be reported to and reviewed by senior leadership.

Competencies

Knowledge of Order Management : Comprehensive understanding of the entire order management lifecycle, including order capture, processing, shipping, and invoicing. Ability to manage and optimize each stage effectively.

Process Design and Improvement : Ability to design, implement, and refine order management processes to enhance efficiency and effectiveness. Skilled in analyzing existing processes and making data-driven improvements.

Continuous Improvement : Experience in applying methodologies like Six Sigma or Lean to drive ongoing process enhancements. Ability to identify inefficiencies and implement strategies for improvement.

Change Management : Skill in managing and influencing change across different teams and functions. Ability to guide organizations through transitions and ensure smooth implementation of new processes or tools.

Communication Skills : Strong verbal and written communication abilities. Capable of effectively conveying complex information to a diverse audience, including stakeholders, team members, and senior management.

Training and Development : Ability to develop and deliver educational programs and training materials. Supports the organization in understanding and executing order management processes through effective training initiatives.

Project Leadership : Proven project management skills with experience in leading and coordinating projects related to process improvements and system integrations. Ability to manage project timelines, resources, and deliverables effectively.

Problem Resolution : Expertise in identifying and addressing root causes of issues within order management. Develops and implements effective solutions to resolve problems and enhance process performance.

Qualifications

Relevant Degree : Bachelor Supply Chain, Business, or a related field.

Professional Experience : Minimum 5 years’ experience in order management or related fields. Demonstrates practical experience and expertise in the domain.

Languages :  German and Italian a plus

Six Sigma certification and proven experience using the methodology

Certified Business Process Professional (CBPP) a plus

Location

This role is Hybrid (3 days in office, 2 days work-from-home) and based out of our Atlanta HQ (Cumberland / Galleria)

This role requires up to 50% travel, both Domestic & International
