Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Administrative Assistant responsibilities include preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like Outlook, ShareFile, MS Excel and other project management software. If you have previous experience as an administrative assistant, within the accounting or legal service industries, we’d like to meet you. Ultimately, a successful Property Tax Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office through their efforts collaborating with a strong management team.
Responsibilities
- Organize and schedule appointments
- Research and manage projects as assigned.
- Assist with client communication as assigned
- Submission of reports and client related data to state and local entities
- Assist with meeting planning and take detailed minutes
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Maintain a filing system both electronic and physical
- Assist with inventory of office supplies and research new deals and suppliers
- Maintain contact lists
- Update tracking software by entering data and ensuring all necessary documentation has been accounted for.
- Book travel arrangements
- Assist with submission of and reconcile expense reports
- Provide general support to visitors
- Act as the point of contact for internal and external clients

Skills
- Proven experience as an administrative assistant in an accounting or law firm strongly preferred
- Excellent project management skills with little supervision
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, phones, computers, printers, postage meters, fax
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving and critical thinking skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- College degree preferred, High School degree; additional qualifications or certifications as an Administrative assistant, Paralegal or Secretary will be a plus

Pay: $56,000.00 - $60,000.00 per year
