We are seeking a detail-oriented and dynamic Administrative Operations Specialist to manage the shipping of test equipment, electrical safety tools, PPE, and customer items. In this multifaceted role, you will be responsible for ensuring accurate tracking, timely deliveries, and clear communication with both customers and internal teams. You will also support daily tasks such as receiving, inventory management, data entry, and provide backup support for other administrative duties as needed. Adherence to safety protocols and compliance with electrical safety standards is crucial.
Key Responsibilities:
- Shipping & Inventory Management: Oversee the movement, tracking, and shipping of equipment, ensuring proper documentation and compliance with regulations. Handle incoming shipments, verify contents, update inventory records, and manage returns.
- Customer Service: Respond to customer inquiries regarding equipment status, shipping issues, and delivery updates. Prioritize rush orders and special requests, coordinating with relevant departments.
- Receiving & Coordination: Manage incoming shipments, prioritize by urgency, create work orders, and ensure timely delivery to the appropriate departments. Assist with customer pick-ups and payment processing.
- Safety & Compliance: Follow safety protocols for equipment handling and shipping. Ensure compliance with hazardous materials and international shipping guidelines, and ensure all shipments include necessary certifications.
- Additional Tasks: Generate reports on shipping and equipment status, track trends, and perform other duties as needed to support operations.
Qualifications:
- Education: High school diploma or GED required.
- Training and Experience: Previous experience in administrative roles, customer service, and warehouse or shipping environments is preferred. Experience with shipping software (UPS, FedEx), as well as knowledge of calibration and lab procedures, is a plus.
- Skills: Strong organizational, communication, and problem-solving skills, with the ability to multitask and manage time effectively.
