Job Title: Administrative Support for Bing Overseas Studies Program (BOSP)
Job Purpose: Provide administrative and operational support under general supervision for the Bing Overseas Studies Program (BOSP).
Core Duties:
- Respond to inquiries and determine appropriate actions. Serve as a resource regarding a defined set of policies and procedures.
- Schedule, organize, and operate conferences, seminars, and events, including vendor coordination, document production, logistics management, and liaison with internal and external vendors.
- Draft and generate communications; coordinate the production and dissemination of documents such as presentations, seminar materials, complex reports, and displays.
- Plan and schedule calendars based on consultation, resolve conflicts, and update email distribution lists. Support global centers with administrative tasks as needed.
- Act as a liaison between global centers and the Stanford home office for administrative tasks related to leases, vendor contracts, payments, and various projects.
- Partner with BOSP finance to process and monitor routine financial transactions, including researching and resolving discrepancies.
- Serve as the point of contact for general maintenance and facility concerns; report incidents or potential safety issues to appropriate representatives.
- Provide transactional support in partnership with human resources, such as student hiring and I-9 processing.
- Guide students and/or contingent workers by scheduling, assigning, prioritizing workloads, setting deadlines, and reviewing work for quality and timeliness.
Requirements:
Minimum Requirements:
- Education & Experience: High school diploma and three years of administrative experience, or a combination of education and relevant experience.
Knowledge, Skills, and Abilities:
- Proficient computer skills and experience with office software and email applications.
- Proven ability to follow through and complete routine tasks.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Exceptional customer service and interpersonal skills.
- Ability to prioritize and multi-task.
Physical Requirements:
- Constantly perform desk-based computer tasks, frequently sit, occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects weighing up to 10 pounds, and rarely twist/bend/stoop/squat, kneel/crawl.
