This is a temporary-to-hire opportunity, Monday through Friday, 8 AM - 5 PM.

We are seeking an experienced Consulting Administrative Assistant to join our dynamic team in the manufacturing industry. This role is integral to the smooth operation of our consulting team, and will provide comprehensive administrative support to our consultants. The successful candidate will be responsible for managing calendars, coordinating travel accommodations, administering budgets, and handling professional correspondence. This is an excellent opportunity for an individual with superior organizational skills and a keen eye for detail to thrive in a fast-paced, exciting environment.

Responsibilities

  • Providing full administrative support to a team of consultants, ensuring the efficient and effective operation of the team.
  • Managing complex calendars, including scheduling meetings, appointments, and conference calls.
  • Coordinating travel accommodations, including booking flights and arranging hotel reservations, in accordance with company policies and budget.
  • Administering budgets, including tracking expenditures, processing invoices, and preparing financial reports.
  • Handling professional correspondence, including drafting emails, letters, and reports, and ensuring timely and effective communication.
  • Maintaining an organized filing system, including managing electronic and paper files, and ensuring easy access to important documents.
  • Processing expense reports, including verifying expenses, reconciling receipts, and ensuring timely reimbursement.
  • Utilizing Microsoft Outlook and Excel to manage tasks, organize data, and create reports.
  • Demonstrating excellent time management skills, including prioritizing tasks, managing deadlines, and ensuring efficient workflow.

Qualifications

  • Minimum of 5 years of experience in an administrative role, preferably in the manufacturing industry.
  • Proficiency in Microsoft Office Suite, particularly Excel and Outlook.
  • Exceptional organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to manage complex calendars and coordinate travel arrangements.
  • Experience administering budgets and processing expense reports.
  • Proven ability to handle professional correspondence with discretion and professionalism.
  • Demonstrated ability to manage time effectively, with the ability to prioritize tasks and meet deadlines.
  • Strong problem-solving skills, with the ability to anticipate needs and resolve issues proactively.
  • Ability to work effectively in a fast-paced, high-pressure environment.
  • High level of professionalism, with the ability to interact with individuals at all levels of the organization.
