We are on the hunt for a dynamic, detail-oriented, and bilingual (Vietnamese and English) Consulting Intake / Scheduler to join our fast-paced, growing medical practice. This is a pivotal role that bridges the gap between our patients and healthcare providers, ensuring smooth and efficient operations in our clinic. The ideal candidate is a seasoned professional with a minimum of 5 years experience in appointment scheduling and a strong understanding of the healthcare industry.
Responsibilities :
1. Serve as the first point of contact for all patients, providing a warm, professional welcome and addressing queries in a timely manner.
2. Efficiently manage the scheduling of appointments, ensuring optimal use of resources, minimal patient wait times, and maximum patient satisfaction.
3. Use your bilingual skills to communicate effectively with our diverse patient base, ensuring all patients feel comfortable and understood.
4. Accurately record patient details and medical histories in our electronic health record system, maintaining strict adherence to HIPAA regulations.
5. Confirm future appointments and coordinate reminders to patients to minimize no-shows and late arrivals.
6. Collaborate closely with medical staff, providing them with accurate and up-to-date schedules to ensure smooth daily operations.
7. Manage patient intake, ensuring all necessary paperwork is completed and filed correctly.
8. Handle any schedule changes or cancellations with grace and efficiency, minimizing disruption and rescheduling patients as necessary.
9. Assist with other administrative tasks as required, contributing to the overall efficiency and effectiveness of our practice.
Qualifications :
1. High school diploma or equivalent required; further education in medical administration or related field is a plus.
2. Fluent in both Vietnamese and English, with excellent written and verbal communication skills.
3. Minimum of 5 years experience in a similar role, with proven ability to manage appointment scheduling in a busy medical practice.
4. Proficient in using electronic health record systems and comfortable learning new software as required.
5. Exceptional organizational skills, with a keen eye for detail and the ability to juggle multiple tasks simultaneously.
6. Strong interpersonal skills, with the ability to build rapport with patients and work effectively within a team.
7. Knowledge of medical terminology and healthcare industry practices.
8. Ability to handle sensitive information with discretion and adhere to all confidentiality regulations.
9. A patient and empathetic nature, with a genuine desire to help others.
10. Ability to work flexible hours, including some evenings and weekends, to meet the needs of our practice and our patients.
