The Supportive and Palliative Care Program at University of Iowa Health Care has an opening for a full-time Hospice and Palliative Medicine Fellowship Program Coordinator (Administrative Services Coordinator/PAA1). The Hospice and Palliative Medicine Fellowship Program Coordinator will:
- Coordinate daily operations including supporting program activities, scheduling, managing expenditures for appropriateness, and reflecting operational changes in policies and procedures.
- Coordinate all aspects of the Hospice and Palliative Medicine Fellowship Program and support other learners such as medical students and residents who rotate on the service.
- Make decisions and exercise a high level of autonomy while typically performing administrative support/management responsibilities for the Director and Administrator of the Supportive and Palliative Care Program including managing schedules and correspondence.
The ideal candidate can prioritize their day balancing the operational needs of the Supportive and Palliative Care Program and fulfilling the requirements demanded by the Hospice and Palliative Care Fellowship Program. The candidate must demonstrate ability to nurture the Fellows and support the Fellowship faculty.
Primary supervision is received from the Director and Administrator. Secondary supervision is received from the Fellowship Program Director.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES:
- Plan, organize, and monitor activities as assigned.
- Arrange and secure appropriate facilities (room arrangements) and services (food, CME, CEU, publicity) for program activities such as interdisciplinary team meetings, conferences, and one-on-one interactions
- Direct correspondence and inquiries appropriately
- Develop and maintain call schedules for providers and other team members on the Palliative Care service.
- Develop and update patient brochures for the Supportive and Palliative Care Program.
- Maintain effective working relationships with faculty, staff and public.
- Maintain attendance lists for educational team meetings.
- Attend and actively participate in meetings as necessary.
- Record, maintain and distribute meeting minutes in a timely manner.
- Obtain, prepare, assemble and distribute educational and promotional program materials related to patient care.
- Assist in maintaining daily inpatient, outpatient and IDT reports.
- Review operational expenditures for appropriateness.
- Organize, arrange, and support fellowship interviews, subsequent hire, licensure, credentialing, compliances, and orientation.
- Update MedHub with all fellow clinical rotations, conferences, and other educational activity as appropriate.
- Monitor fellowship accreditation including completing annual reports and updating faculty profiles.
- Schedule and monitor fellow evaluations and program reviews.
- Monitor the Electronic Residency Application Service (ERAS) for fellow applicants.
- Create and maintain fellowship databases generating reports as needed.
- Meet weekly with the Fellowship Leadership Team and Program Director.
- Review and submit updates to the Fellowship website.
- Attend monthly Graduate Medical Education meeting.
- Provide administrative support to the Clinical Competency Committee, Program Evaluation Committee, and Self-study Committee.
- Perform other duties as assigned.

Location: This position is located at the UI Health Care medical center at 200 Hawkins Drive, Iowa City, Iowa.
Work schedule: Some flexibility between the hours of 7:00 AM and 5:00 PM, Monday through Friday.

POSITION QUALIFICATIONS:
- A Bachelor degree in Business Administration or an equivalent combination of education and experience is required.
- Office administration experience (typically 6 months to 1 year) and the demonstrated ability to carry out ongoing office administration effectively and efficiently are required.
- Demonstrated proficiency in Microsoft Office Suite (including Outlook, Word, Power Point and Excel) is required.
- Excellent written and oral communication skills are required (demonstrated through good listening and interpersonal skills, and the ability to adapt language, style, and tone to different audiences to ensure that the message is understood as intended).
- Demonstrated high attention to detail and problem-solving skills is required
- Strong organizational skills, including the ability to manage multiple projects and adhere to deadlines is required.
