The Statewide Residency Training Program is seeking an Iowa Health Professions Workforce Records Manager to perform the administrative activities for the maintenance and management of the Physician Information System (PIS), Nurse Practitioners (NP), and Physician Assistants (PA) tracking systems. Creates pre-established annual reports for each information system along with an annual presentation to the PA and Nursing Advisory Boards. Analyze and produce other meaning reports derived from the database based upon requests from the Assistant Dean or Iowa Health Professions Inventory (HPINV) Director. Additionally, provide development and administrative assistance for the physician, nurse practitioner, and physician assistant marketing activities. Backup duties for Iowa HPINV Division Director duties as required and provides administrative support to the OSCEP Community Services Director. 

Percent Time:  100%

Duties to include:

Data Analysis, Migration and Management

Manage the scope of work for internal and external data inquiries, data integrity audits, and workflow.

Develop and maintain reporting applications to enable and enhance reporting needs of the HPINV division.

Conduct ongoing data integrity audits.

Monitor workflow processes:  may gather requirements or recommend improvements to processes.

Coordinate the data collection efforts of the PIS database, NP, and PA tracking systems.

Examine, check, and verify Physician, Nurse Practitioner, and Physician Assistant information.

Database Development/Reporting

Examine checks and verifies physician training information and statistical reports generated from the Iowa Physician Information System, Iowa Nurse Practitioner, and the Iowa Physician Assistant Information System.

Answer routine inquiries and responds to data requests from OSCEP staff members, collegiate faculty and staff, advisory committee members and other public and private agencies/organizations.

Produce, verify, and distribute routine and statistical reports generated from the Physician, Nurse Practitioner, and Physician Assistant tracking systems. 

Create databases and reports, as directed.

Maintain documentation regarding all workflow processes.

Respond to data requests.

Work with the Iowa Department of Health and Human Services on their annual state OB report, tracking births in Iowa, helping identify health professionals.

Work through UI Child Health Specialty Clinics, with the Iowa Department of Health and Human Services on annual First Five Survey.

Gather Primary Care Office data for continuing PCO monitoring data for Iowa Department of Health and Human Services.

Implementation

Produce, verify, and distribute routine and statistical reports generated from the Physician, Nurse Practitioner, and Physician Assistant tracking systems.

Produce and verify graphical representations of data generated from Physician, Nurse Practitioner, and Physician Assistant tracking systems. Directly responsible for Physician and Nurse Practitioner annual graphs.

Produces “Annual Report on Iowa’s Physicians”, “Annual Report on Iowa’s Nurse Practitioners”, and “Annual Report on Iowa’s Physician Assistants.” Directly responsible to update the pre-established Physician and Nurse Practitioner Annual Report. 

Present Annual Report to the corresponding Advisory Boards each year no later than October. 

Provide analysis, design and implementation and support of programmatic solutions.

Answer routine inquiries from OSCEP staff members and provides information regarding policies and procedures of the Physician, Nurse Practitioner, and Physician Assistant tracking systems.

Administration/Support

Serve as liaison with faculty and staff of the UI Carver College of Medicine and UI Physician Assistant Program, Des Moines University PA Program, University of Dubuque PA Program, St. Ambrose University PA Program, and Northwestern College PA Program. 

Serve as a liaison with the staff of the Iowa Board of Nursing and Iowa Nurses Association, along with other nursing leaders appointed to the advisory board.

Develop a relationship with and serves as liaison with staff of the Iowa Board of Medicine, Iowa Board of Nursing, Iowa Board of Physician Assistants, and the Iowa Physician Assistant Association.

Leadership/Staff Management/Financial Responsibility

Process payments for data sales in conjunction with OSCEP financial staff.

Perform the administrative activities for the maintenance and management of the Iowa Physician, Nurse Practitioner, and Iowa Physician Assistant Tracking Systems.

Serve as liaison with faculty and staff of the UI Carver College of Medicine and UI Physician Assistant Program, Iowa Board of Medical Examiners, Iowa Board of Physician Assistants, University of Dubuque PA Program, St. Ambrose University PA Program, Des Moines University PA Program, Iowa PA Society, Iowa Medical Society, and other organizations/societies.

Working with the Iowa HPINV Division Director, the position may be involved in conducting the marketing efforts for the Iowa Physician Information System, Nurse Practitioner Information System, and the Iowa Physician Assistant Information System, including the identification of potential clients and coordination of mailings.

Produce billing statements and reports for services provided.

Compose correspondence in response to routine inquiries.

Respond to data requests from faculty and staff of the related Health Science Colleges.

Supervise the data collection activities of student employees.

Approve the full-time ASC hours and students’ timecards.

Work with clerical staff on larger graphic projects.

Provide administrative support to the Director of Community Services Division in OSCEP.

Contribute ideas for new analysis of data and obtaining information. 

Seek way to improve assigned processes.

May provide functional supervision; provide direction, assignments, feedback, coaching and counseling to assure outcomes are achieved.

Other duties as assigned by the Division Director.

Education Required

  • A bachelor’s degree or an equivalent combination of education and experience is required.

Required Qualifications:

  • One year of experience in health care and/or administration. 
  • One year experience working with Microsoft Office Suite (Excel, Microsoft, Outlook, PowerPoint, etc.) and graphics software (ex: Corel Draw, Tableau, Microsoft Power BI, etc.).
  • Evidence of excellent written and verbal skills.
  • Recent projects/products that demonstrate a successful history of accurately organizing and managing detailed information.
  • One year of work experience that displays excellent interpersonal, professionalism, and customer service skills.
  • Evidence of contributing to a positive internal workplace culture.

Desired Qualifications:

  • Knowledge of Iowa healthcare systems and organizations.
  • One year experience working with a relational database.
  • Experience with survey research and data collection accompanied by excellent analytical and problem-solving skills.
  • Experience providing presentations is desirable.
  • Basic knowledge of python programming language.
