We are seeking a Legal Administrative Assistant to join our dynamic team. This role is an excellent opportunity for individuals looking to enter the legal industry and gain valuable experience while supporting attorneys, paralegals, and other legal professionals. You will play a key role in providing high-quality administrative assistance, utilizing your organizational and communication skills to contribute to the success of our client-focused team.

Pay Rate : $26.00 per hour

Shift : 9 : 00 AM - 4 : 00 PM

Key Responsibilities

  • Administrative Support :

Provide exceptional administrative assistance across various practice groups and functional areas.

  • Process invoices and expense reimbursements through an electronic software system.
  • Coordinate travel arrangements and event logistics.
  • Schedule conference rooms and manage training sessions using firm software.
  • Docket critical dates and maintain contact management records in the Client Relationship Management system.
  • Word Processing :
  • Collaborate with attorneys and paralegals to create and edit legal documents (contracts, pleadings, briefs).

  • Ensure compliance with legal formatting standards and firm guidelines.
  • Utilize specialized software for document creation, including redlining, track changes, and document conversion.
  • Manage fillable forms in Adobe and Word, perform audio transcriptions, and handle data entry.
  • Quality Control & Proofing :
  • Proofread and edit documents to ensure accuracy, consistency, and adherence to client standards.

  • Customer Service & Communication :
  • Provide excellent client service by addressing inquiries, managing expectations, and ensuring timely communication.

  • Collaborate with internal teams to ensure smooth workflows and client satisfaction.
  • Training :
  • Participate in training programs to enhance your skills and knowledge for ongoing development in the administrative support role.

    Position Requirements

  • Education : High school diploma or equivalent; college degree preferred.
  • Experience : Minimum of two years of customer service experience (preferably in a professional services setting).
  • Skills :
  • Proficient or intermediate knowledge of Microsoft Office products.

  • Strong ability to prioritize and manage multiple tasks and deadlines.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Proven client service skills, both in person and over the phone.
  • Ability to maintain confidentiality and handle sensitive information.
