Office Services Associate

The Office Services Associate plays a vital role in ensuring the smooth and efficient operation of our office, providing essential support services such as back-office assistance, hospitality, mail handling, and reprographics. This position offers the opportunity to work directly with clients and internal teams to maintain a professional, welcoming, and organized environment. As the backbone of our office services, you'll be responsible for delivering seamless service and creating a positive, productive workplace.
Key Responsibilities :
Client & Account Management (15%)
- Act as the primary liaison between the client and Forrest Solutions, ensuring clear and effective communication.
- Oversee daily operational requirements, addressing client requests, inquiries, and issues promptly.
- Maintain the professional image of the office through organized signage, up-to-date communication materials, and a visually appealing environment.
- Actively contribute to weekly leadership meetings with reports on client outcomes, challenges, and strategies.
Process & Procedures (10%)
Collaborate with the client to establish and refine policies, procedures, and standards that align with business goals.Monitor Key Performance Indicators (KPIs) and ensure compliance with Service Level Agreements (SLAs).Implement process improvements using project and change management methodologies.Keep the Site Operations Manual / Playbook current to ensure all processes are well-documented and accurate.Client Experience & Satisfaction (10%)
Foster strong client relationships by delivering exceptional service and promptly resolving concerns.Regularly inspect the office space to ensure optimal conditions and a welcoming environment.Provide outstanding hospitality by assisting guests and supporting the client's flexible working culture.Facilities Support (10%)
Manage office moves, furniture relocations, and meeting room setups with efficiency and attention to detail.Perform light maintenance tasks as needed, including sanitization, supply replenishment, and signage updates.Mail & Print Services (20%)
Manage mail distribution, including handling outgoing certified / registered mail and sorting interoffice mail.Oversee print services, ensuring quality control and proper machine maintenance, while also managing client print requests.Meeting & Event Support (10%)
Maintain and manage meeting rooms, ensuring all necessary materials are ready and participants are on time.Training & Development (5%)
Actively participate in training programs to enhance skills, including using the Cornerstone platform.Position Requirements :
High school diploma or equivalent (college degree preferred)At least 1 year of experience in a similar roleProficient in Microsoft Office applicationsStrong customer service skills, with the ability to maintain confidentiality and build professional relationshipsAbility to work in a fast-paced, dynamic environment with shifting prioritiesPositive attitude, strong team player, and problem solverCompetencies :
