YOUR LIFE AS AN ADMINISTRATIVE ASSISTANT / CUSTOMER SERVICE REP
This full-time plumbing office position typically works during business hours at our office. Some after-hours and weekend customer service work is available with an additional incentive for working on call.
As an Administrative Assistant / Customer Service Rep, you play a crucial role in keeping our company running smoothly and our customers happy. Every day, you arrive at our office ready to complete a variety of important tasks including:
- Process accounts payable by receiving, processing, verifying, scanning, entering, and reconciling vendor invoices and expense reports.
- Resolving invoice or payment discrepancies and documentation.
- Reconciles processed work by verifying entries and comparing system reports to balances.
- Verifies vendor accounts by reconciling monthly statements and related transactions.
- Posts payments by recording check, electronic, and credit card transactions.
- Resolves collections by examining payment plans, payment history, and activity related to payment.
- Performs the collection process.
- Monitors student accounts receivables by tracking, researching, and resolving unpaid invoices.
- Ensures prompt response to customer and vendor requests.
- Performs administrative and customer service duties as assigned.
- Performs customer service duties including answering the phone and booking calls.
WHAT WE NEED FROM YOU
- High school diploma or equivalent
- Customer service and collections experience
- Demonstrated computer proficiency using Microsoft Office Suite (Word, Excel, etc.) or equivalent software, the internet, email messaging, and a variety of software applications.
- Strong interpersonal and communication skills and the ability to work effectively with diverse populations.
- Skill in accurate record keeping with strict attention to detail. Skill in organizing tasks, documents, and materials with efficiency and accuracy.
- Proven record of accountability, follow-up, and follow-through.
- Demonstrated ability to work effectively in a service environment that is subject to frequent interruptions and skill in setting priorities that accurately reflect the relative importance of job responsibilities.
