Position Overview
We are seeking a detail-oriented Service Department Administrator to provide crucial administrative support to our Service Department. This role is central to maintaining our high standards of customer service and operational efficiency.
Key Responsibilities
- Service Operations Management
- Process and manage inbound communications (phone, email, fax) with efficient routing to appropriate teams/managers
- Maintain accurate and timely job status updates for internal teams and customers
- Execute proposal approval processes and ensure proper follow-through
- Handle fire permit applications with careful oversight
- Coordinate Technician badging procedures
- Manage third-party website portals and maintain accurate client data entry
- Customer Experience
- Provide prompt, accurate, professional responses to customer inquiries
- Advise Service Managers of customer concerns proactively
- Support positive client relationships through attentive communication
- Team Support
- Contribute to a positive work environment and company culture
- Collaborate effectively with service technicians and management
- Support departmental initiatives and special projects as needed
- Maintain organized documentation and administrative systems
- Previous customer service experience, preferably in a service-related industry
- Exceptional written and verbal communication skills
- Demonstrated ability to manage multiple priorities effectively
- Strong attention to detail and accuracy in documentation
- Proficiency with business software and communication tools
- Problem-solving skills and ability to work independently
- Team-oriented mindset with a positive, collaborative attitude
- Experience in commercial refrigeration or related technical service industry
- Knowledge of service management software systems
- Background in administrative support roles
- Experience with customer satisfaction monitoring and reporting
- Full-time, on-site position
- Hours: 8:00 AM - 4:30 PM

Salary: $50,000-65,000 per year
