Joey James Law is seeking a highly organized and proactive individual to join our team as a Client Intake Specialist. As a Client Intake Specialist, you will be the first point of contact for potential clients, gathering important information and assessing their legal needs. You will communicate with our clients to update them on current events, facilitate the scheduling of testing, inspections, affidavit creations, and obtaining client information and questionnaires. We don’t sell ANYTHING. We are a law firm that needs to communicate with potential clients and manage our current client caseload in other states. Schedule:
· 8-hour shift
· Primarily day shift
· Monday to Friday
· Occasional evenings and weekends as needed
Responsibilities:
- Conduct initial client interviews while taking detailed notes to collect relevant information
- Respond to inquiries from potential clients via phone or email
- Maintain status updates for projects
- Gather and accurately record client information into the firm's case management system
- Determine the urgency and priority of client inquiries and assign appropriate resources
- Collaborate with firm members
- Explain the firm's services and processes to potential clients in a clear and concise manner
- Maintain confidentiality and handle sensitive client information with discretion and professionalism
- Follow up with clients regarding missing or incomplete documentation and information
- Provide exceptional customer service by addressing client concerns and inquiries promptly and courteously
- Assist with administrative tasks, such as scheduling appointments and managing calendars
- Assist with clerical tasks as needed
Qualifications:
- Solid data entry, spreadsheet management, calling, and computer skills
- Customer service or client management experience is a plus
- Strong interpersonal and communication skills, with the ability to actively listen and empathize with clients
- Excellent organizational skills and attention to detail
- Proficiency in using case management software and Microsoft Office Suite & Microsoft Teams
- Ability to work independently and handle multiple tasks in a fast-paced environment
- Demonstrated professionalism and the ability to maintain composure in stressful situations
- A genuine passion for helping clients and a commitment to providing exceptional service
