We are looking for an organized and detail-oriented Office Assistant to provide clerical and administrative support to our team. The ideal candidate will have excellent communication skills, be proficient in multitasking, and have a strong understanding of office management systems and procedures.

Responsibilities:

  • Manage and organize office files, documents, and records, ensuring accuracy and confidentiality.
  • Answer and direct phone calls, take messages, and respond to inquiries in a professional and timely manner.
  • Draft and edit correspondence, reports, and other documents as required.
  • Schedule and coordinate appointments, meetings, and events, including booking conference rooms and sending calendar invitations.
  • Greet and assist visitors, ensuring a professional and welcoming office environment.
  • Perform data entry tasks and maintain up-to-date databases and spreadsheets.
  • Coordinate and manage office supplies inventory, including ordering, receiving, and organizing supplies as needed.
  • Assist with the preparation and distribution of internal and external communications.
  • Support other team members by performing clerical and administrative tasks as needed.
  • Provide general administrative support, including photocopying, faxing, and filing.

Requirements:

  • High school diploma or equivalent; further education in business administration, secretarial studies, or a related field is a plus.
  • Proven experience in an administrative or secretarial role.
  • Must be able to travel for our events!
  • Proficiency in Quickbooks & Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills, with the ability to multitask and prioritize workload.
  • High level of accuracy and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Demonstrated problem-solving skills and a proactive approach to tasks.
  • Team player with a positive attitude and the ability to work effectively with others.
  • Familiarity with office equipment, such as printers, scanners, and fax machines.
