We are looking for an organized and detail-oriented Office Assistant to provide clerical and administrative support to our team. The ideal candidate will have excellent communication skills, be proficient in multitasking, and have a strong understanding of office management systems and procedures.
Responsibilities:
- Manage and organize office files, documents, and records, ensuring accuracy and confidentiality.
- Answer and direct phone calls, take messages, and respond to inquiries in a professional and timely manner.
- Draft and edit correspondence, reports, and other documents as required.
- Schedule and coordinate appointments, meetings, and events, including booking conference rooms and sending calendar invitations.
- Greet and assist visitors, ensuring a professional and welcoming office environment.
- Perform data entry tasks and maintain up-to-date databases and spreadsheets.
- Coordinate and manage office supplies inventory, including ordering, receiving, and organizing supplies as needed.
- Assist with the preparation and distribution of internal and external communications.
- Support other team members by performing clerical and administrative tasks as needed.
- Provide general administrative support, including photocopying, faxing, and filing.
Requirements:
- High school diploma or equivalent; further education in business administration, secretarial studies, or a related field is a plus.
- Proven experience in an administrative or secretarial role.
- Must be able to travel for our events!
- Proficiency in Quickbooks & Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Excellent verbal and written communication skills.
- Strong organizational and time management skills, with the ability to multitask and prioritize workload.
- High level of accuracy and attention to detail.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated problem-solving skills and a proactive approach to tasks.
- Team player with a positive attitude and the ability to work effectively with others.
- Familiarity with office equipment, such as printers, scanners, and fax machines.
