Summary
This position is essential to the University’s enrollment efforts and a member of the Campus Visit within Enrollment Management. This person can understand and articulate the academic and social experience of an undergraduate student at JCU. This knowledge will be used to inform and organize campus visits that are personalized to prospective students’ needs and interests. The Coordinator will work alongside others on the visit team, within the division, and across the University to ensure the success of these experiences.
The Coordinator will work directly with Blue Streak Ambassadors, Tour Guides, and Peer Advisors. This position also provides day of support for on-campus recruitment-related events.
Duties and Responsibilities
- Coordinate individual student visits to campus that may include tours, class observations, and/or meetings with faculty, staff, coaches, students, and enrollment representatives. This process includes visit request intake, and follow-up conversations with prospective. students/parents, appointment scheduling, creating a detailed visit itinerary to include directives for tour guides and staff interference, and itinerary confirmation.
- Direct supplemental Personalized Experience processes including but not limited to overnight stays in university apartments and Mosaic Travel Fund logistics.
- Proactively work to automate pieces of the Personalized Experience process while maintaining a standard of high-touch customer service
- Develop relationships with deans, faculty, staff, and others across campus to create more productive, efficient visit opportunities for prospective students and families, high school counselors, and other visitors.
- Along with the Visit Team, explore possibilities for and execute alternative visit opportunities, including creating niche events for departments and programs, partnering with already-existing campus events (athletic contests, lectures), etc.
- Coordinate, with Boler Deans the integration of the Boler Ambassadors into the visit experience. Provide the Boler Ambassadors training for the appropriate Admission protocol.
- Assist in the selection, training, and day-to-day operation of the student tour guide staff.
- Mentor and train other enrollment staff and tour guides on the essentials of good customer service.
- Evaluate campus visit program through frequent assessment utilizing participant evaluations, registration and attendance numbers, feedback from staff and campus partners, etc.
- Regularly provide feedback on campus visit activities including detailed information on attendance, successes, and recommendations for improvements.
- Represent the Office of Admissions at meetings and events. Build and maintain professional working relationships with campus partners, vendors, and other stakeholders. Work collaboratively with other units, as appropriate, to support student services, enrollment, and retention at the University.
Required Qualifications
- Two or more years of experience working at a university with a desire for a background in college admission, enrollment, or school counseling.
- An ability to develop and maintain positive relationships with internal and external constituents.
- Must possess strong interpersonal skills as well as excellent listening and verbal/written communication skills.
- Should have advanced knowledge of word processing, presentation, and spreadsheet applications.
- An ability to multi‐task, take initiative, and function with minimal supervision.
- Should have a high energy level, strong attention to detail, and outstanding project management skills.
- Ability to interpret data.
- Demonstrated leadership skills.
- Exceptional customer-service focus and experience in visitor programming or visitor services
- Knowledge of higher education and issues related to recruitment, admissions, and enrollment of students.
- An interest in understanding and supporting John Carroll’s mission to inspire individuals to excel in learning, leadership, and service in the region and in the world.
- Excellent decision-making skills.
- Ability to take initiative for projects and establish priorities.
- An enthusiasm for helping students and families navigate the college search process.
Preferred Qualifications
- Bachelor’s Degree.
- Demonstrated knowledge, experience, and/or training in event planning, particularly from a curriculum design or programmatic aspect.
- An understanding of and the ability to articulate the value of a Jesuit, Catholic, liberal arts education.
- Preference is given to internal candidates.
Normal Work Location, Hours and Conditions
This position works in person from our campus in University Heights, Ohio. University core business hours are generally 8:30 a.m. – 5 p.m. However, this position will require work to be performed outside of normal business hours (evenings and weekends) at predictable times of the enrollment cycle.

Starting salary for this position will be $18.72 – $21.54 / hour, commensurate with qualifications.
