Description
- Project Estimating & Quoting
- Review request for quotation packages (bid packages) and collaborate with PPE leadership and shop supervision to fully understand project scope and expectations and ensure alignment on technical and production expectations and capabilities.
- Obtain quotes for project components including raw material, buyout items, components provided by other JHC divisions, outside services, subcontractors, etc.
- Develop and communicate quotes to customers based on customer specification, design drawings, applicable codes and standards, etc.
- Ensure quotes are submitted to customers on or before quote due date
- Follow-up with customer on open quotes to ensure there are no open questions/concerns and to verify quote status and timing of next project milestones (bid review, PO awarded, etc.)
- Communicate quote/project status and any other customer concerns to key stakeholders within PPE and JHC
- Project Planning
- Participate in internal hand-off from sales phase to execution phase. Responsible for developing list of hand-off deliverables from sales team to execution team
- Create and maintain project schedules (software: Microsoft Project). Schedules to include tracking total project deliverables, financial milestones, and key project timeframes.
- Define and prepare project responsibility assignment matrix (RACI matrix).
- Schedule and facilitate project status meetings on a structured cadence in accordance with project schedule and key milestones
- Ensure any applicable outside services and/or subcontractors are included in the project planning phase
- Record and report action items resulting from project status meetings
- Ensure any applicable internal or customer follow-up resulting from project status meetings is completed within the expected timeline
- Project Execution
- Schedule and lead project status meetings on a structured cadence in accordance with project schedule and key milestones
- Record and report meeting minutes and action items resulting from project status meetings
- Ensure any applicable internal or customer follow-up resulting from project status meetings is completed within the expected timeline
- Coordinate drawing review and approval with customers and internal stakeholders
- Responsible/coordinator for any necessary drawings/documentation associated with the project (design calculations, drawings, equipment manuals, assembly procedures, customer specifications, internal specifications, QA/QC documentation, etc.)
- Work with sales personnel to provide change order quotations needed in a timely manner:
- Sales lead is responsible for final proposal, to be issued to PM.
- Sales lead / PM, as appropriate, to issue change order to customer.
- Consultation with sales personnel to place and track orders.
- Consultation with sales and project payment schedule.
- Maintain and update project schedules.
- Track and communicate project cost and any concerns to internal stakeholders (“earned vs burned” manhours, material cost escalations, etc.)
- Resolve, trace and escalate critical issues to minimize project risk factors.
- Communicating intensively with customers, subcontractors and vendors to establish cordial/effective working relationship.
- Report on project progress and communicate relevant information to key stakeholders and PPE leadership
- Work with shop and production leadership to ensure personnel allocation is assigned per project schedule and tasks.
- Project Completion
- Ensure all project deliverables have been provided.
- Confirm that all documentation is complete and provided to the customer and any applicable internal stakeholders
- Work with Inside Sales to ensure all invoices are issued in accordance with project milestones, any applicable progressive billing terms, and project completion
- Document lessons learned and report to PPE leadership and any other applicable internal stakeholders
