Overall Project Duties and Responsibilities
- Project Planning:
- Participate in internal hand-off from sales phase to execution phase. Responsible for developing list of hand-off deliverables from sales team to execution team
- Create and maintain project schedules (software: Microsoft Project). Schedules to include tracking total project deliverables, financial milestones, and key project timeframes.
- Define and prepare project responsibility assignment matrix (RACI matrix).
- Project Execution:
- Lead conference calls and project meetings as needed.
- Provide meeting minutes and recap emails for any meetings/conference calls.
- Coordinate cabinet drawing review and approval with PAS lead and/or panel department lead.
- Responsible/coordinator for any necessary drawings/documentation needed for projects (system architecture drawings, server cabinet drawings, cable schedule, …) (Software: Visio)
- Assist in developing hardware FAT procedures.
- Work with sales personnel to provide change order quotations needed in a timely manner:
- Sales lead is responsible for final proposal, to be issued to PM.
- Sales lead / PM, as appropriate, to issue change order to customer.
- Consultation with sales personnel to place and track orders.
- Consultation with sales and services departments on project payment schedule.
- Maintain and update project schedules.
- Ensure that team members are all on the same page and have up to date documentation.
- Deliverable, hardware, time and cost management.
- Resolve, trace and escalate critical issues to minimize project risk factors.
- Communicating intensively with clients, sub-contractors and vendors to establish cordial/effective working relationship.
- Reporting on project progress and communicate relevant information to superiors and company management.
- Work with the Service and Project groups to ensure personnel allocation is assigned per project schedule and tasks.
- Project Completion:
- Ensure all project deliverables have been provided.
- Confirm that all documentation is complete and backed up on the server. (Post FAT documentation, Panel Documentation, etc.)
- Ensure all invoices are issued and paid.
- Document lessons learned and report to upper management to help mitigate those in the future.
- Close project in time accounting.
- Project Closing Surveys.
