Front Desk Admin and Onboarding Coordinator – John L. Scott Real Estate
The primary focus of the Front Desk Admin Assistant & Onboarding Coordinator position in the Renton office of John L. Scott, Inc. is to assist in coordinating workflow from the Office Leader (OL) to the Lead Operations Administrator (OA), to the Marketing Department (BMR), all the way to the Broker Service Representative (BSR). This person also has a lead role with directing the office marketing plans, event coordinating, customer service, and onboarding new & transferred broker associates to get settled into their new office life and business up and running. This role requires a positive outlook, enjoyment of a fast-pace environment with changing priorities but more importantly, must embrace our John L. Essential Functions/Duties:
- Directs BMR & BSR staff day-to-day operations; trains, create manuals, making sure every employee has what they need to succeed every day.
- Assists OL, OA, and other Leadership within the Office on a daily basis; becomes an “active” OA when OA is on vacation.
- Handles Commission Captures; deposits and logs all commission and communicates with corporate commission department during transactions.
- Manages outgoing invoices, billing, commissions, and accounting for Brokers, Managing Brokers, and our Branch Manager, creating a unified system for the office manager.
- Creates and Coordinates all Office Events; Sales Meetings, Company Events, Office Parties, Fundraisers, Educational classes for brokers by establishing relationships with all real estate professionals, vendors, reps, and partners with our firm.
- Manages Real Estate Licensees and Clock Hours; logs & tracks, board of realtor’s memberships, and quarterly NWMLS reports.
- Creates content and manages office social media accounts; events, recruiting, and productivity as a top producing real estate company.
- Assists OL with recruitment and goal development for the firm.

Qualifications:
- Background in office management or related field or 5 years of practical work experience
- Experience with Adobe Creative Suite, Canva or other layout design software
- Proficiency with Microsoft Office Suite, especially Outlook
- Proficient in social media platforms, e.g. Facebook, Instagram
- Real estate experience preferred but not required.
Position & Benefits:
- The position is full time, Monday-Friday, and is considered non-exempt for purposes of Wage and Hour Law
- Pay is from $24 to $27 (Per hour)
