Position Summary
The Ocean Export Agent is responsible for coordinating the administrative export process from start to finish, ensuring seamless execution of international shipments. This includes quoting, arranging freight pick-up, preparing documentation, booking shipments, and providing excellent customer service.
Essential Duties and Responsibilities
The essential functions include, but are not limited to, the following:
- Arrange freight pick-up from clients and verify shipment details, including pieces, weights, dimensions, and special handling instructions.
- Ensure proper documentation authorization, including J.S. Connor Shippers Letter of Instructions.
- Review and comply with letter of credit requirements and special import/customers documentation requirements (e.g., registrations, TIB cancellations).
- Route and book freight following criteria for efficiency, cost-effectiveness, and minimal handling.
- Provide booking instructions to clients and apply quoted, contract, or negotiated rates.
- Prepare ocean Bills of Lading, Shippers Export Declarations, insurance policies, and other required documents.
- Arrange any necessary special examinations or validations before export.
- Provide customers with ocean Bills of Lading and required documentation.
- Track shipments from origin to destination to ensure smooth transit.
- Complete invoicing and maintain organized records for filing.
- Provide rate quotes and technical assistance to customers.
- Review customer receivables before handling each shipment; secure managerial approval for customers with outstanding balances over 30 days or exceeding $1,000.
- Maintain detailed notes on transactions in the system for accurate record-keeping.
- Document and escalate incidents to the supervisor for resolution and recordkeeping.
Requirements
Minimum Qualifications
Education: High school diploma required. A bachelor’s degree in related fields is preferred but not required.
Experience: Prior experience is not necessary, but experience in an administrative role involving specialized forms, process tracking, or customer service is a plus.
Skills
- Strong ability to read and interpret shipping documents, contracts, and regulations.
- Proficiency in written communication for reports, forms, and customer correspondence.
- Solid mathematical skills to calculate weights, dimensions, payment rates, and other logistics-related figures.
- Excellent reasoning ability to apply instructions and resolve logistical challenges efficiently.
- Proficiency in computer applications, including word processing, spreadsheets, and tracking software.
Desired Qualifications
- Hazardous Materials Training preferred.

- Salary Range: $40,000 to $60,000 annually (depending on skills and experience)
