This is a full-time, 12-month, non-exempt position that reports to the Manager of Student Accounts and is located on JWCC's main campus in Quincy, Illinois.
JOB DESCRIPTION
John Wood Community College is seeking a dedicated and detail-oriented Coordinator of Student Accounts to join our Business Office team. This position is responsible for assisting with all aspects of student accounts, including billing, payment processing, account reconciliation, and providing excellent customer service to students and families. The Coordinator of Student Accounts plays a key role in ensuring accurate and timely handling of financial transactions, while supporting the College's mission to provide accessible and affordable education.
KEY RESPONSIBILIES
- Responsible for preparing and sending invoices to student and vendors, and monitoring the payment status of those college receivables, following up with calls, letters, and email notifications as needed.
- Serve as frontline contact with students and provide exceptional customer service by assisting students, parents, and staff with account-related inquiries.
- Process and reconcile student payments, refunds, and account adjustments.
- Manage the tuition payment plan program, analyzing credit balances and processing student refund checks.
- Monitor delinquent accounts and under the direction of the Manager of Student Accounts, prepare lists of students to be dropped for nonpayment, prepare, and send accounts to external collection agencies and maintain records of all payments from the Local Debt Recovery Program.
- Maintain compliance with federal, state, and institutional policies related to student accounts.
- Prepare regular reports on account balances and payment statuses for internal use.
- Collaborate with Financial Aid, Registrar, and other departments to ensure accurate account information.
- Serve as the back-up for the Manager of Student Accounts and provide support for the fiscal services department as needed.
QUALIFICATIONS
Education:
- Bachelor's degree in accounting, finance, or a related field required, relevant experience will be considered.
- Minimum of 3-5 years of experience in customer service or in an office setting, preferably in higher education.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and accounting software.
- Strong organizational and problem-solving skills with exceptional attention to detail.
- Ability to communicate effectively and professionally, both verbally and in writing.
- Experience with student information systems (e.g., Ellucian Colleague) is a plus.
Skills and Competencies:
- Knowledge of accounting principles, financial systems, and regulatory compliance.
- Proficiency in using financial software and Microsoft Office Suite (Excel, Word, etc.).
- Excellent organizational, analytical, and problem-solving skills.
- Customer Services experience is highly preferred.
- The ability to gather and analyze data, compile information, and prepare reports, use judgment, and adhere to strong confidentiality and integrity standards.
- Experience in an educational or public sector setting is a plus.
- Strong interpersonal and communication skills, with the ability to work collaboratively with diverse teams and with a customer service mindset.
- Ability to adapt quickly, troubleshoot issues, and make informed decisions.
Work Schedule:
- Full-time position with a typical schedule of Monday-Thursday (8am - 5pm) and Friday (8am - 12pm).
SALARY:
- This is a non-exempt position with an estimated hourly rate range of $21.17 - $26.46
