About the Position
Johnson Bixby has an exciting opportunity for Part-Time Office Administrator (20 hours/week) to join our team. In this role you’ll be positioned at the front desk where you be the welcoming face of our firm, ensuring every client interaction is positive and professional. You’ll oversee the client experience by welcoming visitors, assisting clients over the phone or in person, and managing appointment confirmations and inquiries.
You’ll also coordinate with our Financial Planners to prepare and send monthly client review letters, assemble and maintain new client packets, and manage client profiles in our Customer Relationship Management (CRM) system. Your responsibilities will also include updating compliance records, processing Registered Investment Advisor (RIA) agreements and invoices, and preparing client folders for appointments. Additionally, you’ll support the Client Service Team by managing account maintenance forms, overseeing the team calendar to ensure a balanced workflow, and monitoring emails in the general corporate inboxes. Training team members on office equipment usage will also be part of your role.
On the administrative side, you’ll maintain the Front Office Manual, act as the subject matter expert on operational policies and procedures, and manage phone services, including out-of-office messaging and call routing. Daily tasks will include handling incoming and outgoing mail, participating in departmental meetings, and assisting with general office operations.
What You’ll Bring to Us:
- Associates Degree in Business preferred.
- Two or more years of related experience and/or training in a business environment; or equivalent combination of education and experience.
- Ability to evaluate and interpret data to make informed decisions and identify key insights.
- High level of accuracy and attention to detail, minimizing errors and maintaining high standards.
- Ability to manage tasks and projects with minimal supervision, demonstrating self-reliance and accountability.
- Efficiently prioritize and allocate time to tasks, meeting deadlines and managing multiple responsibilities.
- Proactively identify opportunities for improvement and takes action without needing direct supervision.
- Analyze issues and develop effective solutions to overcome challenges and achieve desired outcomes.
- Exceptional communication skills, with a strong emphasis on both oral and written interactions when engaging with clients and team members.
- Ability to interpret a variety of instructions delivered in written, oral, diagrammatic, or schedule formats.
- Proficient in Microsoft Office products.
- Strong mathematical skills including the ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, future value and present value.
