Overview
The HR Support Specialist provides administrative support to the Human Resources department, assisting with a variety of HR functions such as recruitment, onboarding, employee records management, and benefits administration. This role plays a critical part in ensuring the smooth execution of HR processes while upholding Johnson Screens’ core values of Teamwork, Collaboration, and Integrity. The HR Support Specialist ensures accuracy, efficiency, and confidentiality in all HR-related activities, contributing to the overall success of the organization.
Duties and Responsibilities
- Greet customers, vendors, etc. at the front desk and on the phone. Direct them to the correct department. Be a gatekeeper as necessary.
- Support the onboarding process for new hires, including preparing new hire paperwork, coordinating orientation sessions, and ensuring all required documentation is completed accurately.
- Maintain employee records and HR databases, ensuring data accuracy and confidentiality at all times.
- Maintain local and global organizational charts.
- Provide general administrative support to the HR department, including preparing HR-related documents, reports, and correspondence. Support the Johnson Screens Board of Directors, the CEO and officers. Lead projects as directed by BOD.
- Assist in organizing employee engagement activities, wellness programs, and company events, fostering a positive workplace culture. i.e. WOW card program, bi-annual engagement surveys, leading the Sunshine Committee, coordinating anniversary gifts, and corporate communications.
- Ensure compliance with federal, state, and local employment laws and regulations, supporting HR in maintaining accurate documentation and procedures.
- Serve as a point of contact for employees seeking assistance with HR-related questions, providing accurate and timely information.
- Support the HR team in developing and improving HR processes and systems to enhance efficiency and employee experience.
- Participate in HR projects and initiatives, contributing to the continuous improvement of HR operations and the overall employee experience.
- Process daily incoming mail as well as coordinate outgoing mailings.
- Perform various other duties as assigned by the HR Manager.
Required Skills
- 2 year Associates Degree in Human Resources, Business Administration or equivalent
- 2 years’ experience in Human Resources or as an Executive Assistant
- Demonstrate expert skills with computers as well as latest versions of Microsoft of Outlook, Word, Excel, PowerPoint
- Strong organizational skills with attention to detail and the ability to handle multiple tasks efficiently.
- Excellent communication and interpersonal skills, with the ability to provide courteous and effective support to employees and managers.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Familiarity with HR policies, procedures, and employment laws is preferred.
- Strong problem-solving skills and a willingness to assist with various HR functions.
