Job Description: Dental Office Manager
Position Overview: The dental office manager plays a critical role in ensuring the smooth operation and efficient management of a dental office. This position involves overseeing various administrative tasks, coordinating patient care, supervising staff members, and maintaining a positive and welcoming environment for patients.
Responsibilities:
Office Administration:
- Develop and implement office policies and procedures to ensure efficient workflow and compliance with regulations.
- Manage the dental office's daily operations, including scheduling, patient registration, and maintaining office supplies.
- Handle patient inquiries, resolve conflicts or complaints, and ensure a high level of customer service.
Staff Management:
- Recruit, hire, train, and supervise office staff, including dental hygienists, dental assistants, receptionists, and administrative personnel.
- Create work schedules, assign duties, and monitor performance to ensure a productive and cohesive team.
- Provide guidance and support to staff members, fostering a positive work environment and promoting professional growth.
- Conduct regular staff meetings and training sessions to keep the team informed and updated on office policies and procedures.
Financial Management (Excluding Accounts Payable):
- Collaborate with the dental office owner or financial personnel to develop and maintain the office's financial goals and objectives.
- Prepare financial reports and analyze key performance indicators to monitor the office's financial performance.
- Assist in budget planning, expense control, and revenue optimization strategies.
Compliance and Regulatory Oversight:
- Ensure the dental office's compliance with industry regulations, privacy laws, and health and safety standards.
- Maintain knowledge of relevant laws and regulations, and implement necessary changes to policies and procedures accordingly.
- Coordinate with external vendors, suppliers, and insurance companies to ensure smooth operations and adherence to agreements.
Marketing and Patient Relations:
- Collaborate with the marketing team or external agencies to develop and execute marketing strategies to attract new patients and retain existing ones.
- Oversee the implementation of patient communication initiatives, including social media and patient education materials.
- Foster positive relationships with patients by addressing concerns, ensuring satisfaction, and promoting the dental office's services.
Qualifications:
- A Bachelor’s degree is preferred or commensurate work experience from on-the-job management/leadership training.
- Experience in management, ideally in the healthcare and/or dental segments experience preferred.
- Strong leadership and communication skills, with the ability to motivate and inspire a team.
- Excellent organizational and time management abilities.
- Leaderships skills, including ability to build, coach and develop a high performing team.
- Computer Literacy, i.e. Proficient with basic applications including MS Outlook, Word, Excel, and ability to learn Dental System software.
- Ability to work with the team and others to continually improve operations that benefit patient experience and operational excellence.
Job Type: Full-time
Pay: $55,000.00 - $75,000.00 per year
