JOB DESCRIPTION
Reporting to the Supervisor, under close supervision, the Medical Associate will perform various administrative functions in JIB Services LLC/JIB Medical, P.C. but not limited to:
- Answers incoming phone calls from members and assists them in obtaining the information they are requesting and appointment scheduling.
- Follow phone call intake protocol for referring to the Nursing team or a doctor for their triage of all clinical complaints received by phone or in person. All emergency/urgent complaints by phone or in person must be immediately directed to the Nursing Team or Physician for appropriate review. For those emergency/urgent calls, the medical associate must keep caller on the line and do all necessary to ensure that a nurse or doctor takes the call.
- Provides coverage at the main reception, and outside referral desks by setting up appointments, including ones for outside specialists and tests which are not performed at JIB Medical.
- Schedules, reschedules, and cancels JIB Medical appointments for all PHBP participants.
- Recalls – may assist calling patients to schedule a follow up appointment as requested by a JIB Medical physician. If phone contact is not possible, sends out an appointment by mail/certified mail.
- Retrieves and files reports/lab results from JIB Medical and outside consultants.
- Assists with members requests for prescription refills.
- Assists with Medicare billing and JIB Medical Copayment collection.
- Assists file room if needed.
- Retrieve old medical records for retention review.
- Performs related administrative duties and back-up coverage as necessary.
- Scanning of documents.
- Sends and retrieve medical records to patients and health care providers with proper release documents.
- Cross train and serve as back-up coverage as necessary.
- Assist with special assignments and projects.
- Utilize waiting lists.
- Works on eligibility reports and cancels/adjusts appointments as needed.
- Monitors exceptions report and updates patient accounts with required information.
- Responsible for addressing telephone encounters and actions in eCW EMR system.
Work Environment
This job operates in a Medical Outpatient Primary Care Patient environment. This role routinely uses standard office equipment such as desktop computers, phone, scanner, printer, keyboard, photocopiers, shredder, and fax.
Physical Demand
Sedentary work environment with physical demands described are representative of those that must be met by an employee to successfully perform the functions of this job. This would require the ability to lift files, pull files/forms/books, stand, bending, shred documents, open/close filing cabinets as necessary.
Position Type/Expected Hours of Work
This is a Full-Time on site 35 hours per week – Non-Exempt (OPEIU Local 153) position.
Flexibility: Must be available to work overtime when necessary.
Monday- 10:00am-7pm
Tuesday- 11:00am-7pm
Wednesday- 11:00am-7pm
Thursday - OFF
Friday -10:00am-6:00pm
Saturday- 8:30am -2:30pm
Sunday - Closed
Travel: No travel is expected for this position.
Salary : $65,263
