Strategic Intent What is the strategic importance of the role? The Executive Assistant provides dedicated administrative and organizational support to the Managing Partner of Jones Capital. This role focuses on managing day-to-day tasks, including scheduling, communications, and ensuring the Managing Partner's time and priorities are effectively managed. Working closely with the Managing Partner, the Executive Assistant plays a critical role in enabling their focus on leadership and strategic initiatives. - Refrain from disclosing any confidential or proprietary information. CALENDAR MANAGEMENT Actively manage your calendar as well as assist in the management of executive(s) calendars.
- Send invitations complete with location, time (time zone), agenda and attendees, etc. as needed.
- Maintain and monitor a Google calendar free from conflicts. TRAVEL MANAGEMENT Able to arrange a travel schedule that enables remote decision making and productivity.

- Event / activity coordination MEETING PREPARATION Assists in facilitating meeting settings by taking care of all the related administrative tasks.

- Provides copies of materials / printables MISC. ERRANDS Run errands to include but not limited to bank deposits, lunch pickup, etc.
- Plan and schedule travel time for errands during non-peak times and be efficient and plan errands with logistical discernment. CLERICAL ASSISTANCE Assist with other related clerical duties such as photocopying, faxing, filing, and collating.
- Assist executive with clerical duties that are free from error and waste. CATERING AND LUNCH COORDINATION Coordinate catering orders for events and meetings upon request.
- Coordinate with points of contact at restaurant locations on food order, delivery, and time requirements. Provide appropriate billing information.
- Coordinate lunch on occasion for executive when time doesn't permit for them to leave the office. EVENT PLANNING AND TEAM SUPPORT Assists in planning events for the office and executive as needed.
- Assist with internal event planning like holiday parties, monthly birthday lunches, etc. for corporate resources and broader Jones et al. COMMUNICATIONS AND CORRESPONDENCE Manages and prioritizes communications, ensuring timely and professional responses.
- Manage and prioritize incoming emails and communications, drafting responses or flagging urgent matters for review.
- Act as a gatekeeper, managing access to the Managing Partner's time and resources. FINANCIAL AND EXPENSE MANAGEMENT Oversee expense reports, budget tracking, and reconciliation.
- Handle expense reports, budget tracking, and invoice processing for the Managing Partner.
- Monitor and reconcile credit card statements and ensure timely submissions.
