Statement of Purpose:
To receive visitors and patients, ascertain their needs and direct them accordingly; to answer telephones, makes appointments, maintain accurate patient demographic information on the computer and perform related clerical duties to support providers, nurses and patients.
MAJOR TASKS, DUTIES AND RESPONSIBILITIES
- Greets visits and patients; determines their needs; checks appointments and directs or escorts to proper person, office or department. Assists other outsiders to appropriate locations as appropriate.
- Schedules appointments and provides routine instructions for preparation. Ensures telephone numbers are up to date for televox and appointment confirmation purposes. May send reminder and/or no-show letters.
- Registers patients in the EMR system with correct and complete demographic and insurance information completing insurance verifications as well as confirming primary and secondary payors. Reviews and obtains electronic signatures on all necessary consents. Reviews registration for required information and confirms all required information is complete and correct. Provides assistance to registration, insurance, and billing management when needed.
- Maintains the patient record for new and existing patients as indicated by HIPAA guidelines. Obtains patient information from other departments at JMH or outside providers (i.e. – diagnostic test results, patient records, emergency room reports, etc.) Receives requests for records and clinical patient information. Assembles information and forward to Health Information Management Department or Medical Practice Supervisor. Send patient charts to transferring provider.
- Performs a variety of clerical duties such as keyboarding, copying, scanning, sorting and distributing mail. Answering telephones promptly, receives and transmit messages appropriately through the EMR system through in basket and/or telephone encounters.
- Collect copays and back balances, reconciles cash drawer daily. Identify uninsured patients and send form to Patient Financial Consultant. Maintains internal records as required. Prints patient After Visit Summary (AVS) at check-out when appropriate.
- Processes referrals to consulting physicians or diagnostic testing within the electronic referral work queue daily. Schedule appointments and obtain prior authorizations or referrals as required by insurance. Compiles patient records and necessary medical information to forward to providers being referred to outside of the URMC network. Phones patient to confirm appointment date and time. Appropriately route and complete the referral within the referral work queue. Maintains documentation related to referrals within EMR referral work queue.
- Performs duties and assists providers a part of the practice-care team. Takes part in daily team huddles and/or other periodic team meetings to facilitate communication and enhance position patient experiences and quality of care.
- Participates in quality improvement initiatives as part of the practice care team.
- Ensures job functions align with office policies, procedures, and patient-centered medical home standards.
- Orders office supplies (non-clinical) and forwards requisitions to Practice Management Department.
- Attends monthly staff meetings.
- Willingly assists in orientation of new employees.
- Operates and makes minor adjustments and repairs to business equipment.
- When staffing needs dictate, may work an alternate shift, alternate site, or be scheduled to work on an on-call basis. Employees scheduled on call must report within 30 minutes of receiving a call.
EDUCATION: High School Diploma or equivalent; two years of Medical Secretarial program preferred.
EXPERIENCE: Six months experience in a medical/clerical field with demonstrated strong organizational, verbal, written, telephone and customer service skills.
CONTACTS: Continuous contact with employees, patients, visitors, and physicians.
PHYSICAL DEMANDS: Intermittent sitting, standing, walking, climbing, bending and kneeling for up to 12 hours a day.
