The Sustainability Project Coordinator will assist the Senior Manager of Sustainability with the following responsibilities:
- Provide general administrative and clerical support to the Team Leader and Team
- Setup company and vendor sponsored lunch-n-learns meetings
- Maintains team backlog report and updates opportunities checklist
- Prepares project log-in sheets
- Manages team calendar
- Completes and issues meeting minutes and field reports
- Perform MS Word formatting of written documents, including book specifications
- Maintains logs of team documents (Review comments, RFIs and submittals)
- Prepares draft pre-billing reports for Team Leader
- Assists Team Leader new hire and Co-op orientation, support and training
- Work with Accounting on AR for past due invoices and assist Team Leader with collections
- Coordinate all accounts payable invoices with accounting team
- Update project management software with calendar dates for deadlines
- Point of contact for clients to coordinate construction site visits across all offices
- Follow up with construction teams on corrective actions identified via site reports
- Running project management reports
- Manage external incentive programs (enrollment with program, tracking projects' completion)
- Manage and maintain all agreements with vendors and subconsultants
- Manage and maintain all annual service agreements
Knowledge:
- Deltek VantagePoint experience is a plus
- Proficient in Microsoft Office Suite products, Excel, PowerPoint, Outlook
- Proficient in Smartsheet
- Excellent customer service and phone skills
- Degree in Business Administration or equivalent is preferred
Skills:
- Strong written and verbal communication
- Strong editing and proof-reading abilities
- Excellent ability to multi-tasks, responding to constantly changing needs and schedules
- Excellent time management skills
