What will make you rise to the top?
The Team Administrator will assist the Team Leader with the following responsibilities:
- Provide general administrative and clerical support to the Team Leader and Team
- Setup company and vendor sponsored lunch-n-learns meetings
- Monitor payment of invoices and assisting Office leader with follow-up to clients
- Maintains team backlog report and updates opportunities checklist
- Prepares project log-in sheets
- Manages team calendar
- Collect time sheets from team members for Team Leaders approval
- Completes site visit expense forms for reimbursement from client
- Completes and issues meeting minutes and field reports
- Perform MS Word formatting of written documents, including book specifications
- Maintains logs of team documents (RFIs and submittals)
- Prepares draft pre-billing reports for Team Leader
- Manage master task list for Team
- Spec formatting
- Assists Team Leader new hire and Co-op orientation, support and training
- Assembles drawings and specs for issuance, coordinating stamping requirements with EORs
- Monitors timeliness of shop drawing review/RFIs, maintains logs
- Request marketing materials as needed
- Work with Accounting on AR for past due invoices and assist Team Leader with collections
Skills:
- Deltek VantagePoint experience is a plus
- Proficient in Microsoft Office Suite products, Excel, PowerPoint, Outlook
- Strong written and verbal communication
- Strong editing and proof-reading abilities
- Excellent ability to multi-tasks, responding to constantly changing needs and schedules
- Excellent time management skills
