What are the responsibilities and job description for the MEDICAL SUPPORT ASSISTANT position at Joseph Spine Institute?
The Medical Support Assistant is a non-clinical medical administrative assistant who provides surgical scheduling support while traveling between our Tampa and Wesley Chapel, Florida locations with an assigned Physician. Maintains effective and organized systems to ensure efficient surgical schedules, appointment scheduling, and timely patient flow. Provides a smooth and pleasant patient experience and ensures physician’s clinic and surgical schedules are organized and accurate. This is a two-part administrative role.
PHYSICIAN SUPPORT
ESSENTIAL RESPONSIBILITIES:
- Coordinates Physician’s office schedule to maximize efficiency between clinics, meetings, and conference calls and administratively assists to keep Provider on task.
- Communicates effectively and flexibly responds to changing demands to ensure smooth workflow and continuity of appointments.
- Triages telephone messages and returns calls to provide prompt answers to patients/physicians/pharmacies/attorneys, etc.
· Completes FMLA, Disability, and Handicap Parking Permit documentation.
- Collaborates effectively with coworkers, management, patients, visitors, and physicians to achieve Practice goals.
· Rooms, interviews, and transports patients making appointment and scheduling adjustments as required.
- Addresses scheduling, authorization, and billing issues with an appropriate sense of urgency to ensure timely and successful resolutions.
- Performs other non-clinical duties as directed or assigned.
SURGICAL SUPPORT
ESSENTIAL RESPONSIBILITIES:
· Coordinates and schedules surgeries, procedures, and follow up appointments as designated by physicians to meet timing, physician, and facility requirements.
· Sets up arrangements for special equipment and surgical materials for weekly surgery schedule.
· Provides patients with generic preoperative information sheets and advises patients of preoperative surgical requirements.
· Obtains accurate information from patients and ensures all registration and release forms are completed.
· Completes Health and Physical Examination Forms by facility.
· Executes all patient documents as required for each procedure and facility.
· Maintains files and patient records in a confidential manner consistent with HIPAA rules.
· Performs other non-clinical duties as directed or assigned.
QUALIFICATIONS:
- High School Diploma
- Associates degree minimum in healthcare preferred
- Minimum 2 (two) years related experience working in an orthopedic spine practice, pain management center, chiropractic clinic, or hospital preferred
· Minimum of 2 (two) years surgical scheduling experience, including insurance preauthorization and patient data collection – preferably in an orthopedic spine or similar practice
· Highly organized, multitasks with a sense of urgency, utilizes good judgment, and possesses strong problem-solving skills
· Proficient in Microsoft Suite, AllScripts EHR, Adobe, and Dropbox
- Able to reliably travel between assigned offices as clinic schedule dictates
- Works effectively both independently and as a team member with physicians, management, and other staff
- Provides superior patient care, exceptional customer service, and practices professional telephone etiquette and interpersonal skills
- Demonstrates willingness to learn, grow, and succeed as part of a team
- Remains calm under pressure and manages time efficiently in a fast-paced, constantly changing environment
- Outstanding attention to detail, highly accurate written skills, and clear/concise verbal communication skills
- Exudes a sense of urgency while remaining personable, calm, collaborative, and cooperative
- Ability to effectively understand, follow, and communicate oral and written instructions in English. Must read, write, and speak English fluently to ensure clear work-related communication and patient safety
