Job Opening: Transaction Coordinator/Office Manager in Mount Sterling
We are looking for a dedicated Transaction Coordinator/Office Manager to join our team and manage the details of our real estate transactions. This role is essential in ensuring a seamless process for our clients, from arranging home inspections to managing offers and counteroffers. Key Responsibilities
- Review all transaction documentation to confirm proper signatures and dates, ensuring a smooth home sale process.
- Assist Realtors, clients, and related parties with escrow paperwork, including appraisals, titles, and mortgage loans.
- Manage client information in our database, track transaction milestones, and ensure compliance with office broker requirements.
- Facilitate approvals for buyer offers and counteroffers to keep transactions moving efficiently.
- Create, schedule, and manage social media content and ads to increase visibility and grow our online presence.
- Address tenant concerns, oversee rent collection, and facilitate the execution of new leases.
- Oversee transaction contracts for both buyers and sellers, ensuring timely closings.
- Handle day-to-day office management, including:
- Cleaning and organizing
- Assisting walk-in clients
- Answering calls and texts
- Managing bill payments, mail retrieval, and office supplies
Requirements
- Strong commitment to excellent customer service and client satisfaction.
- Prior experience in real estate, transaction coordination, title management, or mortgages preferred.
- Exceptional organizational and communication skills (both verbal and written).
- Ability to work independently, solve problems, and proactively support office operations.
Work Schedule & Expectations
- Office Hours: Monday–Friday, 9:00 AM to 5:00 PM, with a 1-hour lunch break (12:00 PM–1:00 PM).
- Must be reachable outside office hours; a work cell phone will be provided.
- Real estate is a fast-paced, 24/7 industry, and this role requires flexibility to adapt to its demands.
Compensation & Benefits
- Starting pay: $17.50/hour, with a $1/hour raise after a 90-day probation period.
- Annual benefits:
- 2 weeks paid vacation/year
- 7 paid sick days/year
- Note: This position does not offer health insurance or 401(k) benefits due to our small company size.
