Position: Billing Specialist
Reports to: Vice-President of Finance
FLSA Status: Exempt
Department: Accounting
Location/Shift: Portland, OR / Day Shift
Position Summary:
As a Billing Specialist, you will be responsible for managing and processing billing transactions to ensure accuracy and timeliness. This role involves generating and reviewing invoices, addressing discrepancies, and maintaining up-to-date billing records. The Billing Specialist works closely with sales and customer service teams to resolve billing issues and ensure customer satisfaction.
Key Responsibilities:
- Prepare job tickets to begin billing process: Deactivate job in shop floor system; review/print Ship To Data and Cost Sheet reports and Production Ticket.
- Job Costing: Verify plate and cartons used; verify PO’s are issued and then closed; finalize and print Cost Sheet.
- Pre-billing: Review estimate job specifications to actual for accuracy; reconcile shipped v. billable quantities; review alterations for billing; verify proper sales/use tax application. Prepare pro-forma invoice with all relevant charges and breakdown between printing, freight, mailing, and foreign postage. Send this pro-forma invoice to appropriate sales rep for review/approval.
- Invoicing: Prepare final invoice from pro-forma invoices and prepare daily invoice batches of approved billing. Distribute sales between printing, mailing, freight, and discount GL revenue accounts. Verify sales/use tax application, per line. Distribute invoices and review/print final Sales Journal.
- Job Closing: Open job close batch and enter final closed invoices after verifying all PO’s and auto-count transactions are closed.
- Freight Invoices: Review and approve all freight invoices. Identify 3rd party invoices sent to JG in error and route to shipping for correction by carriers. Collect and distribute charges for UPS and freight carriers, after any needed corrections, as well as Canadian customs/duty fees.
- Fulfillment: Prepare monthly fulfillment/mailing billings as well as monthly storage billings.
- Estimating: Assist with preparation of mailing estimates for Estimating Dept. as needed.
Qualifications:
- Associates degree, preferably in business and/or accounting/finance.
- Three of experience in a billing, general accounting, or bookkeeping role.
- Relevant manufacturing industry experience in accounting, estimating, or production tracking
- MIS system experience and knowledge of systems helpful, particularly of EFI/Monarch system.
- Intermediate level skills in Excel and Word.
- Excellent written and verbal communication skills.
- Interpersonal skills for communicating and working cooperatively with other departments and senior management
Physical Requirements:
- Must be able to remain in a stationary position constantly.
- Must be able to use computer keyboard constantly.
- Must be able to view a computer monitor frequently.
