What are the responsibilities and job description for the LOCAL ONLY - Executive Assistant position at Journey to STEAM?
Job Title: Executive Assistant (Local Only – Contract-to-Hire)
Pay: $19/hour to start, with performance-based raises
Hours: Part-time, 10–15 hours/week to start, with room to grow
Location: Portland Metro Area (Must live within 30 minutes of Portland)
About Journey to STEAM
Journey to STEAM is a growing, mission-driven organization that brings hands-on, high-energy STEAM (Science, Technology, Engineering, Arts, and Math) learning to elementary students through after-school programs, camps, and community events.
We’re a small, high-performing team. We lead with integrity, act like owners, and genuinely enjoy what we do—and who we do it with. We serve our communities with excellence and warmth, and we expect that from every person on our team. This role is available because our previous Executive Assistant was promoted.
About the Role
We’re looking for a detail-obsessed, reliable, and proactive Executive Assistant to support our Founder and leadership team. This is a contract-to-hire role that starts at 10–15 hours/week and will grow with the right person.
Most of the work is done remotely on your own schedule (outside of a few standing meetings). But this is not a fully remote role. You must live within 30 minutes of Portland, OR and be available to travel to Fairview weekly for in-person tasks and errands. If you are not local, your application will not be considered. Please do not apply.
What Success Looks Like in This Role
This isn’t about waiting for direction. It’s about thinking ahead, owning your lane, and executing with excellence.
Here are examples of how the right person shows up:
- A Saturday community event needs coverage. You step up to table, coordinate pickup, setup, and breakdown of materials, and interact with families, kids, and school staff with confidence and warmth.
- You’re asked to follow up with community partners. Some haven’t responded to email. You take initiative—call them, leave professional voicemails, and even visit in person if needed—because your job is to get it done, not to wait.
- The Founder wants better use of our project management system. You carve out time weekly to self-train, explore features, and make recommendations to improve team workflows.
Who This Role Is For
You’re someone who:
- Lives locally and can travel weekly to Fairview
- Brings your own reliable tech setup (we are a BYOD company, which means you’ll use your own laptop, phone, and internet—no company-issued equipment)
- Is highly tech-savvy and comfortable using tools like Google Workspace, Trello, and CRMs
- Tracks recurring tasks without being told twice
- Communicates clearly and professionally—by email, phone, and in person
- Can confidently interact with the public (families, kids, school staff, etc.) in a way that reflects warmth, professionalism, and pride in our mission
- Thrives in a fast-paced, mission-driven environment
- Brings care, consistency, and good energy to every interaction
You’ll succeed here if you align with our team values:
- Act Like Owners – Take initiative and follow through
- Learn Fast, Improve Always – Stay curious, adapt, and get better
- Share the Load – Step up and support each other
- Protect Our Positivity – Be resilient, solution-minded, and kind
- Celebrate the Wins – Acknowledge progress and joy along the way
Who This Role Is Not For
This won’t be a fit if you:
- Don’t live in the Portland metro area
- Aren’t comfortable making calls, speaking professionally, or interacting with the public
- Want rigid structure or a 9–5 corporate culture
- Expect full-time work immediately without first proving value
- Struggle with time management or consistent follow-through
- Are looking for a job to “coast”—we work hard here, and it shows
What We Offer
- Performance-based raises and clear opportunities to grow
- A flexible, high-trust work environment
- A team that genuinely likes each other and loves what we do
- A chance to contribute meaningfully to a growing, values-driven organization
To Apply:
Submit your resume and a short message introducing yourself. Then, complete the flyer task described below. Email your completed flyer (as a PDF or Canva link) to Admin@journeytosteam.com with the subject line: “Executive Assistant Application – [Your Full Name].” Applications without a completed task will not be considered.
Application Task: Create a Flyer for a Hypothetical Camp
We often need quick-turnaround flyers for school partners to promote our programs. These are sometimes made by our EA, especially when our designer isn’t available. This task helps us assess your ability to create something clear, compelling, and aligned with our brand.
- Create a one-page flyer for a hypothetical Journey to STEAM summer camp.
- You choose the details (e.g. name of school, location, dates, age group, camp title/theme, etc.)—but make it realistic.
- The flyer should be geared toward elementary school parents, and should feel fun, professional, and parent-friendly.
- Please use Canva or a similar platform, and send either a PDF or shareable link.
Note: We manually review every application submitted by a local applicant; yes, really. We’re a small business and your application won’t go through a bot. If you take the time to apply, please make sure it reflects who you are and how you align with what we’ve shared here. We’re not in a rush. We’re hiring when we find the right fit. If this sounds like your kind of place, we can’t wait to hear from you.
