Overview:
JP Management is seeking a dedicated and professional Receptionist to join our team here in Hackensack, New Jersey. This role is heavily focused on front desk duties while also supporting administrative tasks related to tenant services and site operations.
Key Responsibilities:
- Serve as the primary point of contact for tenants, handling a high volume of incoming phone calls, walk-ins, and emails daily.
- Provide excellent front-desk customer service, ensuring tenants receive prompt assistance with inquiries regarding billing, payments, and account status.
- Maintain detailed records of tenant interactions, including phone calls, emails, and walk-ins, by entering history notes into Rent Manager.
- Handle all incoming and outgoing mail.
- Create maintenance requests for properties.
- Review tenant ledgers via phone or in-person and provide necessary explanations or resolutions.
- Generate and distribute balance due letters and follow up with tenants on overdue accounts.
- Assist with tenant retention efforts by gathering feedback on the move-in/move-out process and addressing tenant concerns.
- Prepare and distribute property-related notices and memos to tenants. Scanning files as needed.
- Manage office supply inventory and submit purchase orders as needed.
- Process tenant credit requests upon obtaining management approval.
- Assist in invoice coding and payment processing.
- Coordinate, administer, and track the renewal of site contracts.
- Develop and maintain spreadsheets to streamline operational workflows.
- Organize and analyze site data to assist Property Managers in site operations and budgeting.
- Create Calendar reminders for Housing Inspections & State inspections, as needed.
- Perform other administrative duties as assigned by management.
Requirements:
- Guest-service oriented with prior experience in front desk reception, customer service, guest services, or property management.
- Ability to work independently while maintaining strong collaboration with property managers, co-workers, vendors, contractors, superintendents, and legal counsel.
- Excellent organizational and communication skills, with the ability to multitask in a fast-paced environment while ensuring high attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook, and Teams) is required.
- Experience with Rent Manager or other real estate management software is a plus.
- Bilingual in English and Spanish is required.
- Work Schedule: Monday through Friday, 8:30 AM – 5:00 PM (with a 30-minute lunch break).
Hourly Rate: $20.00 - $22.00/hr
