Job Summary: We are seeking a highly motivated and detail-oriented Accounts Payable (A/P) and Accounts Receivable (A/R) Assistant to join our finance team. This position will involve handling various financial transactions related to both accounts payable and accounts receivable, ensuring accuracy and timeliness in processing invoices, payments, and receipts.
Key Responsibilities:
Accounts Payable (A/P):
- Process and review incoming supplier invoices for accuracy, completeness, and proper authorization.
- Enter and maintain accurate accounts payable records in the accounting system.
- Ensure timely payment of vendor invoices and resolve any payment discrepancies.
- Assist with reconciling vendor statements and following up on outstanding payments.
- Assist in month-end and year-end closing procedures related to accounts payable.
Accounts Receivable (A/R):
- Process customer invoices and ensure timely billing in accordance with company policies.
- Track and reconcile incoming credit card payments against jobs.
- Pull and manipulate excel reports from various systems and cites to use in billing customers.
- Collaborate with the sales and customer service teams to address customer inquiries and concerns regarding invoices and payments.
General Responsibilities:
- Assist Purchasing by creating purchase orders, tracking inventory receipts, creating weekly usage reports, and reconciling inventory monthly.
- File monthly sales and use tax.
- Maintain accurate records and files for both accounts payable and accounts receivable.
- Help support month-end closing and ensure all financial transactions are accurately recorded.
- Collaborate with other departments to ensure smooth financial operations.
Qualifications:
- High school diploma or equivalent (Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred).
- Previous experience in an A/P or A/R role is an advantage but not required.
- Proficiency in Microsoft Office Suite (Excel, Word, etc.); familiarity with accounting software (e.g., QuickBooks) is a plus.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
- Strong analytical and problem-solving abilities.
Preferred Skills:
- Knowledge of basic accounting principles.
- Experience with data entry and processing financial transactions.
- Strong interpersonal skills and the ability to work well within a team.
