Key Responsibilities:
- Accounts Receivable and Financial Tasks:
- Match invoices to purchase orders and manage weekly check/payment processing and recording.
- Handle accounts receivable tasks, including payment tracking and reconciliation.
- Maintain accurate financial records and prepare detailed reports as needed.
- Customer Service:
- Serve as the primary contact for customer inquiries, resolving issues promptly and professionally.
- Route and escalate customer concerns appropriately, ensuring swift and thorough resolutions.
- Coordinate with hospitals, sales reps, and clinics to schedule surgical cases and confirm surgical calendars.
- Obtain and track previous surgical records when necessary, ensuring accuracy and completeness.
- Records and Filing Management:
- Maintain an organized filing system for digital and physical documents, including customer records, invoices, and inventory reports.
- Implement and manage digital filing systems to ensure secure, easily accessible, and well-organized documentation.
- Support the general upkeep of the office, including scheduling routine maintenance and inspections.
- Process Improvement:
- Identify opportunities to streamline administrative processes for greater efficiency and accuracy.
